Job Overview:

This position plays a key role in supporting a busy civil litigation practice. You will be responsible for a variety of legal and administrative tasks that ensure the efficient day-to-day operation of the practice group. Your ability to manage deadlines, stay organized, and communicate professionally with clients and colleagues is essential to your success in this role.

Key Responsibilities:

  • Manage incoming and outgoing correspondence, including mail, email, and phone calls
  • Prepare and organize client intake documents, including New Matter Forms and ID verification
  • Maintain and organize digital and physical files, ensuring documents are accurately saved and easily accessible
  • Assist with billing, reporting, and tracking retainers, including preparing Retainer Letters and collecting retainer funds
  • Provide general administrative support including photocopying, scanning, printing, and filing
  • Draft standard letters and template documents as required
  • Manage calendars and schedule meetings, appointments, and limitation dates using tickler systems and task lists
  • Create and maintain BF (bring-forward) systems and task lists to manage key deadlines
  • Assist with document notarization, file culling, and file closure procedures
  • Collaborate closely with lawyers and team members to ensure timely and accurate completion of tasks
  • Provide additional support within the practice group as needed

Qualifications:

  • Legal Assistant or Law Clerk Diploma (or equivalent education/certification)
  • 1–3 years of experience in a legal assistant role, preferably within civil litigation
  • Familiarity with Ontario litigation procedures and legal documentation
  • Strong organizational skills with the ability to manage multiple priorities under pressure
  • Exceptional attention to detail and accuracy in all tasks
  • Excellent written and verbal communication skills
  • Professional, adaptable, and able to work independently as well as within a team

Technology & Tools:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with NetDocuments and Soluno is considered a strong asset
  • Comfort working in a digital-first, cloud-based document management environment
