Compensation: $17.69 per hour

About the role:

Under the leadership and direction of the Program Coordinator, and in collaboration with program staff, the Program Assistant will provide direct, hands-on support in the daily operations of programs and services. This role focuses on assisting staff and clients in a variety of tasks, ensuring smooth delivery of services and program activities. The ideal candidate will be detail-oriented, proactive, and ready to assist with a range of service delivery tasks in a dynamic, client-focused environment. 

In this role, you will:

  • Provide logistical support to clients during program and service delivery, including helping them with basic tasks and navigation of the space and paperwork 
  • Assist clients with basic tasks like checking in, directing them to appropriate resources or staff, and answering simple inquiries 
  • Offer on-site assistance to clients as they engage with the program 
  • Ensure clients feel welcomed and supported by offering a friendly and helpful presence  
  • Assist with the setup and organization of program space and materials for events or activities, such as workshops, orientation sessions, or community meetings 
  • Help clean up and organize after events, returning spaces to their original condition 
  • Provide support to the team which may include data entry, file organization, and basic documentation tasks 
  • Assist with the collection of basic feedback from clients after events or activities to inform program improvements 
  • Provide general assistance to the program team as needed, helping with tasks that support the overall function of the program 
  • Help maintain a welcoming, inclusive clean, and organized environment for clients and staff 
  • Support the team with recruitment and promotion efforts 

Education and skills qualifications: 

  • Strong attention to detail, organizational skills, and the ability to manage multiple competing deadlines and tasks 
  • Ability to present information clearly and concisely 
  • Excellent interpersonal and communication skills, with a respectful and inclusive approach to working with clients, coworkers, and partners 
  • Demonstrated active listening and problem-solving 
  • Cooperative, adaptable, and positive team player 
  • Advanced proficiency in Microsoft Office (e.g., Publisher, Excel, Word, Office 365 apps, etc.) 
  • Ability to maintain confidentiality and appropriate boundaries with client 
  • Capacity to thrive in a fast-paced environment with varying situations 
  • Ability to create welcoming, safe, and inclusive program environments 
  • Experience working with diverse communities, youth, seniors, or newcomers (an asset) 
  • Additional language is an asset.
