The Sales & Inventory Assistant is a key support role within the Sales Department, providing day-to-day operational and administrative assistance to the Sales Managers. This position plays an important role in ensuring inventory is accurately prepared, presented, and maintained, while supporting vehicle advertising, deliveries, and internal coordination. Through strong attention to detail and organization, this role helps ensure smooth sales operations and a consistent, high-quality guest experience.
This is an excellent introductory role for individuals interested in a career in automotive sales, offering hands-on exposure to dealership operations and sales workflows within a premium dealership environment.
Key Responsibilities:
Inventory Preparation & Merchandising
- Coordinate and maintain the presentation and organization of new and pre-owned inventory
- Ensure vehicles are accurately parked, clean, fueled, and display-ready at all times
- Manage window tags, vehicle signage, and license plate/frame installation
- Perform daily inventory reviews and proactively report vehicle damage or concerns
- Oversee periodic vehicle start-ups and seasonal requirements, including snow removal
Pre-Owned Vehicle Check-In & Administration
- Coordinate pre-owned vehicle check-in processes, ensuring accuracy of trim packages, specifications, and documentation
- Enter vehicle information and upload required documents into dealership systems
- Arrange vehicle washing and preparation for inspections
- Coordinate seasonal tire removal, storage, and accessory management
- Ensure previous guest data is properly erased from vehicles
- Initiate out-of-province inspection requests when required
Vehicle Advertising & Online Merchandising
- Coordinate vehicle photography and online listing readiness
- Ensure accurate vehicle descriptions for all makes and models
- Maintain web merchandising standards so inventory is properly represented online
Sales Operations & Daily Support
- Provide operational support to the Sales Managers to ensure efficient day-to-day sales operations
- Support trade appraisal processes as required
- Oversee seasonal tire organization and inventory tracking
- Support vehicle presentation standards, including interior and exterior cleanliness
- Coordinate vehicle transportation to and from sublet locations
- Support guest vehicle deliveries as part of the sales process
Technology & DeliverySupport
- Provide backup support for the Lexus Technology Specialist team
- Assist with vehicle deliveries by reviewing key vehicle features, technology, and ownership information with guests
Compensation
- Salary Range: $45,000-55,000 annually, based on experience
- Comprehensive benefits package following successful completion of the three-month probation period
What You Bring:
A friendly, professional, and approachable demeanor when interacting with guests and colleagues
Self-motivated with the ability to work independently and take ownership of responsibilities
Ability to operate a wide range of vehicles, both manual and automatic transmissions
Strong attention to detail with the ability to prioritize tasks in a fast-paced environment
Excellent customer service skills
Willingness to follow company policies, procedures, and safety guidelines
Valid Alberta Class 5 driver's licence with a clean driving record
Previous dealership experience (preferred)
Willingness and ability to work outdoors in varying weather conditions
Comfortable performing physically active work, including extended time on your feet, lifting and moving tires and accessories, and hands-on vehicle preparation.
