Overview

We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will be responsible for managing daily administrative tasks, providing exceptional customer service, and supporting office operations to ensure smooth workflow. Responsibilities

Must have exceptional Customer Service skills

Must have at least 2 years experience as an Administrative Assistant

The Administrative Assistant is responsible for answering and re-directing telephone calls for the Centre.

Scheduling all psychotherapist appointments and ensuring the schedule is posted in the appropriate places on Monday mornings and maintaining any updates by psychotherapists.

Assigning new clients to psychotherapist and maintaining records of who is assigned to whom. Assigning Loved Ones to Loved One therapy and maintaining records as above,

Scheduling clients for hair cuts and other external appointments.

Ensuring all office supplies are kept in stock and ordered when needed.

Ensure all orders for client personal supplies that are not able to be purchased during regular weekly shopped are ordered online.

Ensure all forms are printed and once completed, are scanned to computer and filed.

Ensuring all forms are available for Client intakes by Counsellors and, once completed, scanned and downloaded to the system.

Maintaining client financial expense records by labelling and scanning all receipts, entering amounts into client files and filing originals in appropriate location for Bookkeeper.

Downloading monthly Counsellor and Nursing schedules from owner, transferring them to readable format and email them out to all staff.

Ensure all client binders are updated on a regular basis.

Ensure all sign in sheets (kitchen -client and staff and front desk sign in) and kept up to date and filed in office upon completion

Enter in staff hours, weekly, to the payroll chart online and file sheets in the appropriate location.

Make sure all client files both online and hard copy are kept up to date and filed in the appropriate locations upon discharge.

Prepare client discharge folders with appropriate documentation, ensuring expense accounts are updated, receipt copies are attached and paid.

All other duties as assigned by owner and/or Counsellors.

Job Types: Full-time, Permanent

Pay: $22.00-$24.00 per hour

Expected hours: 40 per week
