The Opportunity

We are seeking a Financial Services Administrator & Front Desk Associate to provide both client service and administrative support.

You will be the first point of contact for clients and visitors representing Entrust with professionalism and warmth while also handling detailed back-office responsibilities.

Key Responsibilities

Front Desk & Client Engagement

  • Greet clients and visitors, accept deliveries and maintain a professional reception area.
  • Answer and direct incoming calls and emails; respond to basic client inquiries and book appointments primarily for one advisor but also for the wider team as needed.
  • Connect with clients on a personal level to make every interaction meaningful and enhance relationships by providing exceptional service.
  • Support advisors' marketing initiatives by coordinating implementation and tracking results.

Administrative Support

  • Prepare investment documentation: purchases, redemptions, switches and transfers for mutual fund, segregated fund and GIC products.
  • Prepare insurance instructions including changes of coverage, beneficiaries and death claim administration.
  • Obtain policy information and statements as needed by advisors and clients.
  • Monitor pending applications and resolve underwriting issues as required.
  • Prepare presentations, handouts and supporting materials for investment or insurance reports.
  • Maintain and organize the CRM database, digital and physical client files, and shared marketing resources.
  • Safeguard client information and adhere to the firm's Code of Conduct and compliance standards.

Team & Office Support

  • Draft meeting Agendas for client meetings.
  • Assist with service calls and meeting scheduling; track progress as required.
  • Other administrative duties as needed.

Qualifications

  • Experience in financial services or professional office administration is an asset but not mandatory.
  • Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook) and comfort with CRM systems.
  • Ability to manage confidential information with discretion and professionalism.
  • Strong time-management, multi-tasking and problem-solving skills.
