We are currently seeking a reliable and detail-oriented
Full-Time Administrative Assistant
to support our front office and operations team. This role is ideal for someone who is highly organized, customer-focused, and comfortable managing multiple administrative tasks in a fast-paced environment.

Responsibilities
Greet customers professionally and provide a welcoming front-office experience
Answer and direct incoming phone calls and emails in a timely and courteous manner
Open, maintain, and close repair files with accuracy and attention to detail
Prepare invoices, submit for payments, and manage accounts receivable
Schedule vehicle repairs, courtesy cars, and customer pick-ups
Track and record employee hours as required
Coordinate and oversee the courtesy vehicle fleet
Collaborate closely with technicians, estimators, and management to ensure smooth workflow
Enter invoices and other documentation into internal systems
Maintain office equipment and manage ordering of supplies
Move vehicles on-site as required to support daily operations
Qualifications
Willingness to train; candidates with previous collision repair, automotive, customer service, or administrative experience will be given priority
Working knowledge of Microsoft Outlook, Excel, and Word
Valid driver's licence with a clean driving record
Strong organizational skills with the ability to multitask and prioritize effectively
Excellent verbal and written communication skills
Adaptable and comfortable with evolving policies, procedures, and industry requirements
Professional, positive, and customer-focused attitude
Reliable, hardworking, and dependable
Calm and patient demeanor, with a good sense of humour and team-oriented mindset
