The
Revenue Operations Specialist
bridges Sales, Finance, and Operations by managing invoicing, customer payments, Salesforce administration, and contract/order accuracy. This role ensures revenue flows smoothly, data is accurate, and opportunities are compliant with company policies. In addition to operational support, the role builds dashboards, analyzes data, and surfaces insights that drive smarter decisions and enable our teams to work more effectively. The position requires financial systems knowledge, Salesforce expertise, and strong analytical skills to support company growth and future scalability into ERP systems.
Essential Duties And Responsibilities
- Customer Invoicing & Payments (Primary Responsibility)
- Prepare, issue, and track invoices using Intuit QuickBooks Online, , Stripe, PayPal, or similar platforms.
- Monitor and reconcile payments (ACH, credit card, wire, portal).
- Work with Finance to manage collections, resolve disputes, and apply credits or adjustments.
- Ensure invoicing aligns with project deliverables, contract milestones, and revenue recognition requirements.
- Salesforce Administration & Reporting
- Manage Salesforce user licenses, access controls, and provisioning.
- Create and maintain reports, dashboards, and data exports for Sales, Finance, and Leadership.
- Monitor opportunity data quality and enforce compliance with GTB policies.
- Build operational workflows that improve accuracy, scalability, and efficiency.
- Contract & Order Management
- Review contracts, order forms, and Salesforce opportunities for accuracy.
- Identify and correct rep entry errors before approvals (e.g., pricing, discounts, or terms entered incorrectly).
- Support sales representatives with order documentation and data consistency.
- Revenue & Performance Reporting
- Deliver recurring reports on bookings, invoicing, collections, and pipeline health.
- Provide Finance and Leadership with data-driven insights for forecasting and decision-making.
- Assist with month-end and quarter-end reporting cycles.
- Cross-Functional Support & Process Improvement
- Partner with Finance, Sales, and Operations to streamline the quote-to-cash process.
- Identify opportunities to automate invoicing, payments, and Salesforce workflows.
- Contribute to system enhancement projects, including potential ERP integrations (NetSuite, SAP, Oracle).
Qualifications
- Bachelor's degree in Business, Accounting, Finance, or related field preferred; equivalent experience considered.
- 2–4 years of experience in revenue operations, invoicing, or sales operations.
- Hands-on proficiency with QuickBooks Online and at least one other platform such as , Stripe, or PayPal.
- Working knowledge of Salesforce CRM (license management, reporting, dashboards).
- Proficiency in Excel/Google Sheets; experience with BI tools such as Tableau a plus.
- High attention to detail with the ability to spot and correct errors.
- Strong analytical mindset and ability to work cross-functionally.
Preferred Skills
- Experience in SaaS, subscription billing, or professional services invoicing.
- Familiarity and comfortable with sales tools (Clari, ZoomInfo, Outreach/Salesloft, HubSpot, Calendly).
- Knowledge of ERP systems such as NetSuite, SAP Business One, or Oracle.
- Familiarity with SQL, Python, Zapier, or is a plus.
- Understanding of GAAP, ASC 606, and revenue recognition principles.
