Position DescriptionThe Department of Paediatrics is a clinical, education, research and academic leader within The Hospital for Sick Children and the Temerty Faculty of Medicine at the University of Toronto. It is one of the most diverse and largest departments with over 175 administrative roles, over 400 faculty, and hundreds of medical trainees. The Department of Paediatrics offers relevant and challenging education and training programs in virtually all domains of undergraduate, graduate, postgraduate, professional, and continuing education in addition to supporting direct clinical care within 18 medical specialities promoting innovation and excellence in research, medical education, and clinical care on a local, provincial, national, and global level.
An exciting leadership opportunity exists under the direction of the Executive Director of Paediatric Operations. As an influencer within the Department, the incumbent is responsible for leading the development, implementation, execution and monitoring of targeted strategic initiatives within the Department. This role provides expert advice on conducting background research, best practices, emerging and disruptive health innovations, health equity, and facilitates cross collaboration within the department, enterprise and with external collaborators and strategic partners. The position develops and implements strategic evaluations and monitoring strategies to measure accountability and performance in the delivery of operations, clinical care, research services, and education and faculty development within the department and university setting. The role also represents the department's interests in the applications of academic leadership with diverse partners, advocates, committees, and government in addition to all university and hospital corporate and clinical partners. This role is responsible for ensuring that the Department executes all strategic initiatives and activities professionally, efficiently and effectively, while adhering to the strict ethical standards of regulating bodies and funding agencies with a health equity lens. The position promotes the strategic growth of all constituents including development of students, healthcare professionals and physicians, and staff within the department.
The Program Manager, Strategic Initiatives provides senior level support to the Chair, Executive Director, Associate Chairs, Division Heads, Education, Health Equity & Inclusion, and Faculty Development Leads. The Program Manager helps to inform the integration and communication strategies to achieve outstanding success with all strategic initiatives and activities across the enterprise as well as targeted operational and strategic directions in the Departmental, hospital and University 5-year strategic plan.
Here's What You'll Get to Do
- Participate in select advisory groups, committees, and time-limited Working Groups supporting priority initiatives as required to ensure strategic administrative considerations are aligned with departmental, hospital, and university policies and compliance standards.
- Key role implementing and overseeing new and emerging initiatives, in addition to maintaining compliance and evaluation for existing programs and initiatives.
- Leads the preparation and submission of key operational reports and evaluations
- Participates in development and monitoring of KPIs across the department and aligned to targeted strategic planning efforts.
- Responsible for the development, execution and management of various departmental projects and education initiatives across different portfolios.
- Liaises with Departmental administrative teams to ensure strategic alignment for all business processes and annual and multi-year planning cycles.
- Ensures highly effective and efficient administration in all financial, human resource, technical and other areas of support to achieve the clinical, education and research goals/missions of the Department.
- Responsible for engaging faculty, trainees, administration and internal hospital and university partners to collaborate along with growing external collaborations and relationships.
- Serves as an advisor on internal and external initiatives providing feedback and/or input on initiatives/processes that have direct impact on Department or University including emerging ministry and university initiatives and policies.
- Collaborates with others to develop, implement, and evaluate improvements to departmental procedures and processes. Recommend policy changes to support operations, education, and alignment with departmental and university standards.
- Responds to and monitors performance trends and develops plans to address gaps/concerns that may impact the Department strategically, financially, or from a risk or reputation perspective.
- Performs ongoing evaluation of processes, systems, protocols, and tools to ensure alignment and consistent utilization with hospital and university policies, procedures, and best practices.
- Undertakes Project Management/leadership and education lead role on projects in collaboration with Divisions.
- Participates and advises in strategic planning discussions, project/education development, and performance management through a highly matrixed environment for both internal and external collaborators, staff, faculty, and government.
- Escalates highly complex/sensitive or more broadly impacting issues with leading development of recommendations to resolution.
- Addresses escalated issues from every level; supports faculty and staff in issue resolution.
- Informs the Director of Finance and/or Executive Director/Physician Program Leads in all aspects of budget planning process and monitors expenses for all strategic and compliance initiatives including large multi-million-dollar philanthropic enterprises.
Here's What You'll Need
- University degree (Masters preferred).
- 5 years experience in senior administrative role. Experience in a healthcare, research, or academic administration environment, public or private sector, is preferred.
- Strong knowledge of Microsoft Office applications and knowledge with online social media platforms.
- Demonstrated experience developing and executing education workshops/curriculum both in-person and virtually.
- Ability to effectively communicate information to a large and diverse professional audience.
- Ability to engage and influence all constituents across the Department of Paediatrics ' while the position has no direct reports, working in a highly matrixed environment the incumbent must demonstrate the ability to lead and engage leaders, staff and faculty at all levels and external collaborators and partners.
- Strong interpersonal skills to deal with personal and professional issues with faculty, medical trainees, and staff.
- Team player with strong leadership skills who can easily handle shifting priorities and multi-tasking in a deadline-oriented environment.
- Demonstrated commitment and actions in advancing equity, diversity, and inclusion objectives.
- Advanced ability to effectively analyze, suggest changes and implement corrective action in situations with varying degrees of complexity.
- Ability to develop outcome-based measurement and evaluation frameworks.
- Evidence of statistical knowledge to analyze variety of data types, think critically and identify process improvements
- Project Management skills including utilization of SickKids' and university's framework for related projects and initiatives i.e. emerging AI initiatives, education curriculum, compliance, and risk mitigation.
- Exceptional time management and prioritization skills in order to effectively balance a high workload and manage competing demands.
- Team player with strong leadership skills who can easily handle shifting priorities and multi-tasking in a deadline-oriented environment.
- Ability to think critically and must be committed to continually improving processes and programs.
- Demonstrated experience to build collaborative networks with a lens to influence policy change for child health outcomes.
- Understanding of SickKids and the organizational structure and broad knowledge of programs, departments, centres, contacts, policies, and procedures preferred.
- Proven track record demonstrating ability to develop and implement engagement and change management strategies with internal and external partners.
