About the Company

Our client is a fast-growing refrigerated CPG brand based in Vancouver, BC. What began as a small tasting-bar retail concept has expanded into a national brand carried by major retailers across Canada. As the company scales, they are strengthening operations, elevating brand execution, and building structure across the business.

Role Summary

The Regional Operations Manager is the Vancouver anchor for all retail, HR, administrative, and operational support. This role ensures the retail location runs smoothly, brand standards are upheld, business goals are met, and national operations receive consistent on-the-ground support.

Key Responsibilities

Retail Store Oversight


• Oversee cash-handling procedures and weekly deposit confirmations.


• Track retail inventory and coordinate transfers between locations/warehouses.


• Maintain back-of-house organization, labeling, and supply replenishment.


• Support the floor during peak periods or staffing gaps.


• Meet established performance metrics and KPIs.

People & HR Support (Retail Team)


• Support hiring: job postings, screening, interviewing.


• Recommend staffing levels based on seasonality and sales patterns.


• Coordinate onboarding: paperwork, uniforms, access, and training schedules.


• Support customer service and safety training.


• Assist with performance check-ins and escalate issues when needed.


• Maintain consistent communication and team culture.


• Set monthly sales targets for CEO approval.

Scheduling & Timesheets


• Manage weekly scheduling with the Retail Manager.


• Ensure schedules align with budgeted hours and traffic patterns.


• Approve timesheets and submit for payroll.


• Track absences, vacations, and shift changes.

Brand Consistency, Experience & Events


• Maintain staff uniform standards.


• Oversee signage, product presentation, and display quality.


• Ensure retail space cleanliness and organization.


• Support local events, activations, and sampling initiatives.


• Manage packaging and branded materials.

Administration & Office Coordination


• Manage vendor payments, invoices, documentation, and EDI follow-ups.


• Maintain digital filing systems, SOP libraries, and shared drives.


• Upload receipts, deposit confirmations, and bookkeeping materials.


• Prepare weekly leadership updates (inventory snapshots, staffing, scheduling flags, checklists).


• Triage general inbox emails and manage customer follow-ups.

On-the-Ground BC Operational Support


• Serve as Vancouver point-person for tasks requiring physical presence.


• Coordinate local deliveries, pickups, samples, and courier interactions.


• Visit cold storage or 3PL partners as needed.


• Support shipping/receiving photos, packaging QC, and product checks.


• Complete tasks the remote supply chain team cannot execute locally.

SOP & Process Support


• Help document, update, and maintain SOPs.


• Communicate procedural updates to staff.


• Ensure Vancouver staff follow operational standards.


• Identify gaps and propose improvements.

Reporting Structure

Reports to Founder & CEO (HR, brand, admin, culture).

Direct report: Retail Store Manager.

Dotted-line to Supply Chain Manager for Vancouver-based support.

Qualifications


• 2–4 years in administration, coordination, retail operations, or HR support.


• Strong communication and organizational skills.


• Experience with scheduling, hiring, and people coordination.


• Proficient in Google Workspace; willing to learn QuickBooks and EDI tools.


• Based in Vancouver and able to work in person.


• Strong sense of hospitality and brand execution.
