OFFICE ADMINISTRATOR

We are seeking a highly organized and detail-oriented Office Administrator to join our growing restaurant group. This position will work out of our corporate office and is critical in overseeing server cashouts, due backs, and staff tip-out procedures, supporting payroll operations, and general office administration across multiple restaurant locations.

Who you are: The Office Administrator is an integral contributor to the overall success of our restaurants. Our properties include multiple outlets; rooftop bars, lounges, in-room dining, patios and event spaces. You are known for sharing your passion of hospitality, who puts people first, is highly resourceful, detail orientated, positive and self-motivated.

Key bookkeeping & financial responsibilities:

  • Oversee event billing, server cashouts, and tip distribution.
  • Resolve discrepancies in cash handling or tip reporting with managers.
  • Keep detailed records of tip and cash transactions for audits.
  • Assist with employee payroll updates and management
  • Processing gift card and donation sales
  • Monitor and distribute invoices for payables
  • Assist with bookkeeping / accounting / expense reports and general financial tasks as required

Daily administrative functions, include:

  • Provide administrative assistance for ownership, restaurant leaders & senior leadership
  • Perform general administrative duties and tasks
  • Support with recruitment process / onboarding and hiring / enrollment
  • Manage the front desk and handle incoming calls
  • Manage employee anniversaries to include online cards as required
  • Set up and maintain manual and computerized information filing systems
  • Compile data, statistics, and other information as required
  • Office cleanliness, security, and organization
  • Supply management and communications (phone/email)
  • Documentation and maintenance coordination
  • Tracking licensing and permit renewals for multiple locations
  • Maintaining filing systems to support accounting & HR
  • Managing calendars, data entry, and restaurant reservation systems
  • Liaising with external IT consultants as needed
  • Supporting special projects and operational areas.

Related Experience & Qualifications:

  • 2-3 years of experience in general administrative duties
  • High degree of proficiency in office computer applications – Microsoft word, spreadsheet, database, electronic mail/calendar applications & other information management tools
  • Basic bookkeeping / AR distribution and handling of invoices
  • Managing office equipment & tech – printers / computers / tablets
  • Experience with square, micros, open table and google
  • Must have excellent verbal and written communication skills
  • Highly organized, detail-oriented, capable of meeting deadlines and handling sensitive information with discretion.
  • Effective time management skills and ability to work independently.
  • Coachable, open to feedback, and able to work effectively in a team environment
  • Must have personal vehicle and a class 5 license
  • Previous hospitality experience is considered an asset

The ideal candidate will be flexible and self-motivated, have strong communication skills, a positive attitude, and the ability to collaborate with team members across departments.
