Administrative Assistant
to support our team and leadership on-site.
The Role
As our Administrative Assistant, you'll play a key role in keeping our office running smoothly while also supporting senior leadership with select executive-level tasks. This role is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in being a reliable point of support for both clients and internal teams.
This is an
on-site position
and requires a strong in-office presence.
Key Responsibilities
Administrative Support
- Greet clients and visitors and act as a professional first point of contact
- Manage incoming calls, emails, and general inquiries
- Maintain office organization, supplies, and shared resources
- Assist with scheduling, calendar coordination, and meeting preparation
- Support document preparation, filing, and record management
- Assist with internal processes, forms, and basic data entry
Executive & Leadership Support
- Provide administrative support to senior leadership as needed
- Assist with travel planning and arrangements (flights, hotels, itineraries)
- Help coordinate leadership meetings, agendas, and follow-ups
- Prepare basic reports, presentations, or correspondence
- Handle confidential information with discretion and professionalism
Client & Team Coordination
- Assist with client onboarding logistics and administrative follow-ups
- Support internal teams with scheduling, coordination, and task tracking
- Help ensure smooth communication between departments
What We're Looking For
- 2+ years of experience in an administrative, office support, or executive assistant–style role
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- High attention to detail and ability to manage competing priorities
- Comfortable working with technology (Microsoft Office, Google Workspace, calendars, document management tools)
- Professional, proactive, and dependable
- Ability to maintain confidentiality and exercise good judgment
Experience in a professional services environment (accounting, finance, legal, or consulting) is considered an asset but not required.
