Creative Studio Assistant

Linda Mackie is a professional portrait photographer seeking to retain a reliable and intuitive Creative Studio Assistant on a freelance, contract basis starting March 1, 2026. This role is ideal for a self-motivated professional who enjoys a variety of creative and administrative tasks and prefers a flexible, "as-needed" workflow.
SCOPE OF WORK
Most of the work will involve assisting me with key tasks with the goal of eventually taking them on autonomously.
Client Management (17hats / CRM)
Managing client communications and follow-ups.
- Scheduling, planning, and coordination with clients and creative team members (hair + makeup, etc.).
Helping keep workflows organized within 17hats.
On-Set + Studio Support
Preparing the studio for photoshoots (setup and tidying).
- Assisting on-set as needed.
Filming behind-the-scenes (BTS) content using a phone/video for social media.
Content Marketing & Podcast Promotion
Planning and scheduling social media posts.
- Assisting with newsletters and blog content planning.
Supporting the promotion of the studio podcast by using Canva to create and post media and engaging social assets.
Community & Events Support
Helping manage my Facebook group (moderation, engagement prompts, and approvals).
Supporting event planning and coordination (guest communications, reminders, and run-of-show logistics).
Project Coordination & General Administration
Providing administrative and logistical support for a specific outdoor pool project (tracking communications and documentation).
General studio maintenance: organizing and filing receipts, managing digital/physical files (Dropbox), and basic bookkeeping organization.
Research & Systems
Researching speaking opportunities, partnerships and growth opportunities.
- Creating simple, clear SOPs (Standard Operating Procedures) so studio tasks stay consistent and repeatable.
REQUIREMENTS + QUALIFICATIONS
This is an independent contractor role. You are responsible for your own tax remittances (Income Tax, CPP, etc.) and must provide your own equipment, including:
- Mac laptop + strong proficiency with Mac OS (Pages, Numbers, Keynote).
- Cell phone (for communication + BTS content capture).
Applications to ideally have some experience with but not crucial:
- Canva (graphic creation).
- 17hats (or similar CRM experience).
- Social media platforms (specifically Facebook groups and Instagram/YouTube workflows).
You must also have:
- A valid driver's license and reliable vehicle.
- Ability to travel to the Colwood studio approximately once every two weeks (give or take), plus occasional on-set support as scheduled.
Ideal qualities: respectful, intuitive, fast learner, highly organized, and able to work independently once tasks are assigned.
COMPENSATION & HOURS
The starting hourly rate is $23.00. A performance and wage review will be conducted after a 3-month onboarding and training period; for a candidate who demonstrates autonomy and a strong fit, the rate will increase to $25.00 per hour.
This is a casual and variable position averaging 15–30 hours per month (give or take). While there are no set weekly hours, work is flexible and assigned based on studio volume and project deadlines. The structure is hybrid, where virtual tasks can be completed from your own workspace and in-studio assistance (Colwood) or on-set support will be scheduled in advance based on shoot dates.
MENTORSHIP + GROWTH
While this is a contract relationship, I am passionate about mentoring. For a contractor interested in the industry, this role provides invaluable insight into the business of professional photography, with the potential to grow into an Associate Photographer role for the right person.
