Student Affairs and Admissions Supervisor

Division of Medical Sciences

Purpose

The Student Affairs and Admissions (SAA) Supervisor, located on campus at University of Northern British Columbia (UNBC), coordinates day to day functional and organizational duties for student affairs and admissions team, serving the Doctor of Medicine (MD) undergraduate program, the Master of Physical Therapy Program and the Master of Occupational Program and the specific pathways for admissions into these programs which include the Indigenous Student Pathway, Black Student Pathway, and Northern and Rural student pathways. This position works closely with the Assistant Dean, Student Affairs as well as the Student Affairs and admissions team across the province at the other distributed campuses. The SAA Supervisor actively participates in the development and operationalization of the Division of Medical Sciences (DMS) and Northern Medical Program (NMP) goals, values and strategies, and has a strong mandate to coordinate the operations student affairs and admission team to be a closely connected and highly functional team.

The SAA Supervisor will take direction from and be directly responsible for maintaining a strong relationship with the University of British Columbia (UBC) Associate Director of Student Affairs and Associate Director Admissions to ensure that systems and process are aligned provincially to meet UBC Faculty of Medicine's goals.

Responsibilities

Duties include but are not limited to:

  • Providing leadership in the design, building, evaluation, and revision of operational models and processes for the local admissions and student affairs team that are consistent with the UBC and/or UNBC policies and processes, are efficient and innovative, align with the DMS strategic plan and ensure connection to Truth and Reconciliation Commission (TRC), and Equity, Diversity and Inclusion (EDI) mandates;
  • Providing timely and accurate information for decision making and contextual idea generation;
  • Developing and implementing improvements and efficiencies to ensure the team is offering peak service to all invested parties;
  • Engaging in ongoing professional development to consistently work towards better practices and optimal team and organizational methods;
  • Bringing a keen eye of innovation and action to continuously address the changing needs of the industry and the programs;
  • Building cross organizational relationships, predominantly with UBC and UNBC, to achieve efficiencies, optimal resource usage and student, staff and faculty retention;
  • Establishing goals and objectives for the unit in alignment with broader DMS departmental goals and objectives;
  • Contributing to broader planning and committee work to assist in the engagement and implementation of strategies to improve student, faculty, and staff success;
  • Mentoring new and continuing staff to support a strong, empowered staff team;
  • Overseeing the accuracy of virtual resources (eg. SharePoint, Teams, etc);
  • Providing guidance, orientation, and training to others, with possible participation in recruitment, functional supervision, scheduling, and reviewing of other support staff;
  • Providing daily support and coordination of the student affairs and admissions staff;
  • Supporting recruitment and admissions process including the implementation of marketing and recruitment strategies for students interested in DMS programs as well as supporting students through the admissions process;
  • Supporting confidential and sensitive student issues; and
  • Managing administrative systems and record keeping.

Qualifications

The successful candidate will possess the following:

  • A university undergraduate degree in a related field which provides experience and education in critical thinking, problem solving, professional communication and leadership.
  • More than five years' relevant experience includes exposure to medical or health professional education programs.
  • Excellent interpersonal communication, mediation, and conflict management skills.
  • Experience in developing, delivering, and evaluating innovative systems, processes, and student experiences.
  • Experience in supervision, training, budgeting, public speaking, data collection, and interpretation and report writing.

An equivalent combination of education and experience will be considered.

Salary

This position has been classified at a Grade 11. The annual salary range for this position is $77,768.60 to $80,990.00 and the normal starting salary will be $77,768.60.
