Ready to join us? Okay, let's talk about the official stuff:
Your General Responsibilities:
  • Set up new DiveThru therapists for direct billing.
  • Support studio ordering needs while adhering to budgets set by the Studio Manager.
  • Collaborate with the Studio Manager to train new Studio Coordinators, provide feedback throughout their onboarding, and track progress.
  • Manage all studio inboxes by responding to, flagging, or redirecting emails as needed.
  • In collaboration with the Studio Manager, audit studio emails and frequently used trackers (payment tracker, reduced rate tracker, manual matching tracker) for accuracy and alignment with training expectations.
  • Stay up-to-date on studio updates and processes by attending and supporting team meetings, and by staying closely connected with the Studio Manager and Counselling Lead.
  • When the Studio Manager is not present, monitor the cross-studio support channel and assist Coordinators as requested while on shift.
  • Review Studio Coordinator recaps, addressing questions and assisting with troubleshooting where possible.
  • Support clients with therapist matching (including manual matching), payments, client forms, direct billing, scheduling, and app navigation.
  • Contact clients requiring follow-up or reminders, such as outstanding payments.
  • Process client refunds.
  • Maintain ongoing communication with therapists and the studio team to ensure booking, matching, and payment processes run smoothly.
  • Support content creation and filming for DiveThru's social media platforms.
  • Contribute to maintaining a clean, welcoming, and professional studio environment.

Your Skills: Our ideal candidate brings the following to the table:
  • Experience working at DiveThru as a Studio Coordinator
  • Comfortability navigating change, with a proactive approach to learning, growth, and continuous development.
  • The ability to multitask efficiently is essential, as this role requires managing multiple priorities, handling client inquiries, and supporting therapists simultaneously
  • Strong interpersonal skills, attention to detail, and organizational skills
  • Thrives when working with people of diverse backgrounds
  • Interest in learning more about and promoting mental health
  • Ability to maintain highly confidential correspondence, filing, and telephone communication.
Considered A Plus:
  • Certification in office or business administration studies or a healthcare-related field
  • Completed courses related to psychology or mental health (e.g. suicide intervention training, mental health first aid)

Compensation The hourly rate for this role is $23.50/hour.
Hours of work This is a full-time role. We are looking for someone that is able to provide flexible coverage for studio needs (including evenings and weekends).
Location We're hiring three Lead Studio Coordinators—one for our Central location Ave NW, Edmonton, AB T5K 2S2), one for our Whyte Ave location Ave NW, Edmonton, AB T6E 1W9), and one for our St. Albert location (860 St Albert Trl #720, St. Albert, AB T8N 7V2). While you'll be primarily based at one studio, there may be times when we ask you to support other locations as needed.
