Full Job Description

You will perform ad-hoc supply chain and accounting duties as required to support the supply chain, accounting, and administrative team in conjunction with and under the supervision of a manager.

This is a full-time and office-based position in Calgary.

Key Responsibilities

The responsibilities of this role include, but are not limited to:

  • New vendor setup and updating the existing one.
  • New product setup and updating the existing one.
  • Inquire about International and local freight, trucking quotes.
  • Follow the purchase order process, including updating order tracking.
  • Vendor invoice verification and entry into the accounting system.
  • Vendor Payments and entry into the accounting system.
  • Explore third-party storage options, negotiate the existing rates.
  • Contract negotiations.
  • Inventory management.
  • Coordination between the sales team, trucking, and storage companies to process the material deliveries.
  • Assist your reporting manager with accounting and administrative tasks.
  • Follow the new customer setup process and maintain the existing ones.
  • Invoicing the customer and maintaining a backup.
  • Month-end reconciliation for finalizing sales.
  • Follow up with the customer on outstanding invoices.
  • Coordinating with other teams to resolve discrepancies.
  • Expense verification process with SAP Concur.
  • Updating customer collections in the Accounting System
  • Administrative duties including coordination on Insurance policies, office maintenance, Leases, etc.

Education and Experience

  • A diploma or degree in supply chain management with some accounting knowledge will be an asset.
  • Excellent written and verbal communication skills are a must.
  • Attention to detail and the ability to multitask in a fast-paced environment are a must.
  • 1-2 years of relevant work experience would be an asset.
  • Experience with international shipments, including the USA and customs clearance, would be an asset.
  • Knowledge of Inco terms, international and local freight terminologies would be an asset.
  • Experience with Microsoft Great Plains would be an asset.
  • Experience with Open Invoice and Cortex would be an asset.
  • Excellent MS Office Outlook, Excel (medium to advanced), and Word skills.
  • Strong organizational skills and ability to deal with difficult situations professionally and productively.
  • Work well in a team environment.
  • In addition, the position requires a passion for process simplification, improvement, and strong interpersonal skills.

Job Types: Full-time, Permanent

Salary: $45,000.00 per year
