Clerical Assistant, Materials Management, Veterinary Medical Centre

Primary Purpose:  As a member of the Material Management (MM) Team, the MM clerk assists in the maintenance of financial information for Materials Management (MM) and Pharmacy. Supports the MM and Pharmacy team acquisition of supplies and equipment, including equipment maintenance required for the Veterinary Medical Centre.

Nature of Work:  Reporting to the Manager, Business, Finance and Support Services, the position assists to plan, coordinate and monitor financial/administrative tasks in a fast paced, high-volume department to meet deadlines and shifting priorities. This position requires knowledge of the Veterinary Medical Centre Vetnet, and University of Saskatchewan policies and procedures.

Typical Duties:

Financial:

  • Review invoices for accuracy and submit to Connection Point for payment
  • reconciliation of all department credit card purchases
  • Monthly reconciliation of the FAST Report
  • Prepare journal vouchers as required

Purchases and Inventory Maintenance

  • general filing of outstanding and completed orders for pharmaceutical, surgical supplies, and equipment.
  • Edit information as required when product codes, sizes, and prices change or vendor information is added or updated.
  • Verify and record quantity ordered versus quantity received to back-order lists

Qualifications

Education: Completion of Grade 12 and a successful completion of a directly relevant post-secondary education program with focus on accounting. 

Experience: Minimum 3-5 years of directly related work experience; education, experience or training in a hospital inventory management setting would be an asset.

Skills: Effective interpersonal and communication skills, both written and verbal; effective problem solving skills with ability to anticipate, be self-directed and deal positively and effectively with stressful situations; demonstrated effective organizational and time management skills; proven ability to work on multiple projects with competing demands to meet deadlines; ability to work independently and as a team member with limited supervision; ability to work efficiently with an emphasis on attention to detail and accuracy; high aptitude for figures and advanced computer skills including use of MS Office Application, spreadsheets, data bases and information system reporting.

Experience with VetNet, Unifi, Paws, and good working knowledge of University of Saskatchewan Policy and Procedures.

Status: Term 12 months with the possibility of extension or becoming permanent

Employment Group: CUPE Restricted

Shift: Monday-Friday 8:00 am – 4:30 pm. Hours subject to change.

Full Time Equivalent (FTE): 1.0

Salary: The salary range, based on 1.0 FTE, is $ per hour. The starting salary will be commensurate with education and experience.
