Sports Marketing and In-Game Promotions Assistant

JOB SUMMARY
The marketing group within the Athletics Department at UBC helps to promote the University's 26 varsity sports teams with the goal of building school pride and driving game attendance. We have several large-scale events that we promote and support during the school year along with a steady schedule of games that take place each week during the fall and winter terms. The Sports Marketing and In-Game Promotions Assistant role helps to support the Athletics marketing team and provides experience with booking in-game entertainment, event coordination, community engagement, and supporting promotions student staff.
This position requires the ability to work non-standard hours including evenings and weekends (e.g., attending and supporting at identified home games and strategic department events) during the varsity season.
ORGANIZATIONAL STATUS
Athletics & Recreation (A&R) is a department within the VP Students portfolio, with a strong focus on creating an exceptional UBC student experience. The A&R Department has a team of approximately 125 employees, and is led by a strong cross-unit management team. It services over 60,000 students through recreational programming, 26 varsity teams, and 13 competitive clubs along with thousands of members of the UBC community.
The Assistant, Sports Marketing and In-Game Promotions reports to the Project Coordinator, Varsity Marketing as well as, works closely with the Varsity Events team. This role also works closely with coaches/varsity staff and with other department facility managers/coordinators, staff and other campus stakeholders.
WORK PERFORMED
IN GAME ENTERTAINMENT AND PROMOTIONS
· Supports in live production by coordinating promo team, entertainers, and operating switch board during regular season games and festival events.
· Liaises with and secures third-party performers at varsity events including the Mascot, Thunderbird Marching Band, Cheerleaders, Anthem Singers and other entertainment related groups.
· Serve as Game Producer for festival games and football games – calling out timing, giving cues for game presentation, performers, music, promotion staff, etc.
· Creates and coordinates in-game promotional plans and activations for elevated varsity events including the responsibility of managing giveaways, prizes, and swag.
· Assists with marketing related announcer script reads for varsity games and the execution of partnership activations.
· Develops detailed run of shows to ensure precision and readiness of all production elements for regular season games and some festival games.
· Works with the varsity events team on-site to manage promotional related activities.
· Organizes and manages jumbo screen assets for in-game entertainment.
· Operates and switches jumbo screen on Friday nights, identified Sat games, playoff games and festival games.
· Assists with the on-sight coordination between AV project manager and Marketing Coordinator.
· Supports the Marketing team to ensure the delivery of all partner/sponsor assets on the jumbo screen at various facilities.
· Plans and leads festival game lobby activations and half-time entertainment.
· Coordinates special on-site promotional related requests from varsity teams including the responsibility of managing giveaways, prizes, and swag.
COMMUNITY AND CAMPUS
· Assists Worklearn students in securing various community groups and youth teams to attend Thunderbird varsity events.
· Assists in the game time execution of community management plans.
· Coordinates and oversees specialty fan groups in delivering their pre & in game experience: School Days, IGUBC and Jersey Night initiatives.
TICKETING
· Responsible for working with varsity ticketing software to create community access codes and monitor uptake.
· Coordinates and supports all on-campus boothing and ticket sales opportunities.
DIGITAL CONTENT
· Video editing from raw to clean short files to share on social media and with teams for editing use.
· Assists in reviewing created content and videos to ensure that they meet brand guidelines.
· Supporting in pulling footage from archives for video use.
· Creation of social media videos as needed
· Creation of social media weekly schedules + game day posts
· Assists with updating relevant event and other promotional materials on the gothunderbirds website.
· Supports the management of the marketing unit's library of photography and video assets.
OTHER
· Assisting with marketing and promotion related initiatives at larger department events such as Big Block, Thunderbird Scholarship Breakfast, Academic All-Canadian, etc.
· Assists with production of new marketing materials, templates, tools, training, etc. as needed.
· Assist with consolidating metrics for annual reports.
· Other duties and tasks, as required and assigned.
SUPERVISION RECIEVED
· Reports to the Project Coordinator, Varsity Marketing.
SUPERVISION GIVEN
· Assists in the supervision of student staff.
MINIMUM QUALIFICATIONS
· Post-secondary degree, with a keen interest in sports marketing and promotion.
· Minimum of one year of experience in marketing and/or community/fan engagement capacity or the equivalent combination of education and experience.

· Flexible approach to work; This position regularly requires the ability to work non-standard hours including evenings and weekends (e.g. attending and supporting at identified home games).
