We are looking for an Office Administrator to join our team, working out of our Edmonton office. 



The Office Administrator supports the day-to-day operations of the Edmonton office, serving as the first point of contact for visitors and callers while providing administrative support across operations, human resources, and finance. This in-office role plays a key part in creating a professional, welcoming office environment and ensuring core administrative processes, such as onboarding, payroll support, and document management, are completed accurately and efficiently.

Primary Key Responsibilities: 



Reception & Office Operations  



Manage telephone and walk-in traffic at the reception area Distribute mail and maintain office and stationery supplies Ensure common areas, including the kitchen/lunchroom, are clean, stocked, and well-maintained Coordinate courier services, parcel pickup/drop-off, and corporate errands as required 

Administrative & Cross-Department Support  



Provide administrative assistance to leadership and multiple departments as required Maintain effective communication with internal teams and support reporting and documentation needs Assist with general office coordination, scheduling, and day-to-day operational tasks 

Human Resources & Payroll Administration  



Support employee onboarding by preparing documentation, setting up employee records, and welcoming new hires Guide new employees through payroll processes, policies, and the employee playbook Provide basic payroll administration support, including data entry, document tracking, and coordination with payroll systems Assist with maintaining accurate and confidential employee records 

Finance & Accounts Payable Support 



Upload and manage accounts payable and receivable documentation within internal systems Maintain, file, and keep current corporate records for the organization Reconcile corporate credit card transactions and route documentation for approval Support finance team processes by ensuring documentation is complete, accurate, and submitted on time 

General Office Support 



Assist with company events, employee initiatives, and internal coordination Support other administrative and operational duties as required to ensure an efficient office environment Be a champion of office culture, plan quarterly team catch ups, assist with the organization of the holiday party and semi-annual events as needed. 

Required Skills and Abilities: 



Intermediate proficiency in Microsoft Word, Excel, PowerPoint, SharePoint and Teams Experience using administrative systems for document management and data entry Strong attention to detail, particularly when handling financial and HR-related information Minimum 3+ years of administrative experience, preferably in an office, HR, or finance support role
