Organization Relationships

The Operations and Communications Coordinator reports to the General Manager (GM) and also works closely with the  Sporting Director (SD),  Registra
r

and Equipment Manager.

This position plays a key role in ensuring the club runs smoothly day-to-day and that members are well-informed and engaged. Acting as the central link between the administrative office, coaching staff, and the community, the Operations and Communications Coordinator helps maintain efficient operations and a positive member experience while acting as an ambassador for the Club.

Key Responsibilities

Operations & Program Support

  • Assist with the day-to-day operations of the Club, including securing permits for gyms, domes, turf, and fields.
  • Provide front-line support to members during office hours, ensuring a welcoming and responsive experience.
  • Support the Registrar with registrations, product management, and maintaining SKUs in the Club's registration system (PowerUp).
  • Manage Club equipment and apparel: ordering, distribution, tracking, and upkeep.
  • Help coordinate field scheduling and other logistics for programs and events.
  • Provide administrative and logistical support for Club events, meetings, and programs.
  • Assist the Sporting Director with documentation, scheduling, and communications.
  • Coordinate volunteer onboarding and provide ongoing support to ensure volunteers succeed in their roles.
  • Contribute to maintaining and improving Club policies, operational manuals, and compliance documentation in line with governing body requirements.
  • Attend internal and external meetings as needed to support Club operations.

Member & Customer Support

  • Deliver high-quality customer service via email, phone, social media, and in-person interactions.
  • Lead member communications by drafting and distributing announcements, updates, and reminders about programs, events, and Club initiatives.
  • Assist in communicating schedule changes, weather cancellations, or urgent updates efficiently and effectively.

Marketing & Communications Support

  • Manage and distribute Club communications across digital, print, and social media channels.
  • Promote programs, registrations, fundraising, and other Club initiatives to members and the community.
  • Ensure consistent branding and messaging across all communications.
  • Support community outreach and build partnerships with schools, sponsors, and organizations.

Qualifications

  • Strong time management skills with the ability to multitask, prioritize, and meet deadlines
  • Exceptional attention to detail and problem-solving abilities
  • Excellent organizational and planning skills
  • Ability to thrive in a fast-paced environment
  • Strong team player with the ability to work collaboratively
  • Proficiency in MS Office, Excel, G Suite, and other common computer systems
  • Knowledge of branding, marketing trends, and proficiency in the use of social media platforms for marketing and advertising purposes
  • Creative mindset with media experience
  • Previous experience in sports, recreation, or non-profit organizations preferred
  • Experience in administrative roles, including scheduling, database management, or communications, is an asset
  • Excellent verbal and written communication skills
  • Ability to interact positively and professionally with coaches, parents, players and the public; strong customer service skills
  • Flexible availability, including days, evenings, and weekends as required
  • Ability to lift up to 50 lbs, climb ladders, and occasionally work outdoors
  • French/English bilingualism is considered an asset, but not required
  • Interest or knowledge in soccer preferred
  • Compensation will be commensurate with experience.
