Position Overview:

We are seeking a highly organized and proactive Executive Assistant to support senior leadership in a dynamic, fast-paced franchise environment. The successful candidate will play a key role in ensuring smooth day-to-day operations by providing high-level administrative, organizational, and project support. This role requires a professional with exceptional communication skills, a strong attention to detail, and the ability to manage multiple priorities.

Responsibilities:

  • Provide high-level administrative support to the CEO and Executive Team, including managing calendars, emails, and scheduling meetings.
  • Coordinate communication between the corporate office and franchisees, ensuring timely follow-up and precise information flow.
  • Assist in preparing documents, reports, agreements, and presentations.
  • Organize and support logistics for meetings, conferences, training sessions, and corporate events.
  • Maintain and update confidential files, including franchisee records, legal documents, and operational guidelines.
  • Process expense reports, invoices, and purchase orders.
  • Liaise with internal departments to provide them with support.
  • Manage travel arrangements and itineraries for executives.
  • Handle incoming inquiries from clients and provide them with assistance.
  • Perform other duties as assigned.

Qualifications and Skills:

  • Post-secondary education in Business Administration, Office Management, or a related field preferred.
  • 1+ years of experience as an Executive Assistant, or more than 3 years of experience in an administrative role; experience in franchising or multi-location business is an asset.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with cloud-based tools (e.g., Google Workspace, Dropbox, CRM systems).
  • Excellent written and verbal communication skills.
  • Strong organizational skills and the ability to manage multiple competing priorities.
  • High degree of professionalism and discretion in handling sensitive information.
  • Self-motivated, resourceful, and adaptable to changing priorities.
