Job Overview

We are seeking a detail-oriented and highly organized Service Dispatcher / Administrator to coordinate our HVAC service department operations within our company. This role involves managing dispatch activities, maintaining communications with technicians and clients, and utilizing a digital management system to ensure efficient service delivery. The ideal candidate will possess strong communication skills, analysis capabilities, computer skills and work well in a fast paced environment.

Duties

  • Schedule service calls, assigning and dispatching technicians based on service priorities.
  • Answer the service department phone and be the primary contact for customers regarding scheduling, service updates and ETA's.
  • Maintain dispatch software scheduling board.
  • Track specific service analytics through various methods on the service software.
  • Allocate resources that may be required for the technicians ( example: personnel lift, material, parts )
  • Maintain well documented customer files and update information as needed.
  • Gather all work orders and data in preparation for invoicing.
  • Track parts/inventory for service calls and service vehicles.
  • Order parts and process warranty claims.
  • Assist department manager in various tasks.

Requirements

  • Proven experience in dispatching.
  • Strong analysis skills for optimizing service calls and improving operational efficiency.
  • Excellent communication skills including phone etiquette and professional interaction with clients and team members.
  • Proficiency in data entry, typing speed, and multi-line phone systems.
  • Ability to work effectively under pressure in a fast-paced environment.
  • Strong organizational skills with attention to detail in scheduling and documentation.

Job Type: Full-time

Pay: $37,394.20-$53,652.60 per year
