We are seeking a Project Coordinator to support a portfolio of business and governance-focused initiatives. This role is ideal for someone who excels at organization, follow-through, and translating discussions into action. The Project Coordinator will act as a key support partner to project leads, helping move work forward efficiently by managing coordination, documentation, and readiness activities.

Key Responsibilities

Project Coordination & Administration

  • Schedule and coordinate project meetings, prepare agendas, and capture clear, actionable meeting minutes.
  • Maintain project documentation including org charts, task lists, and project artifacts.
  • Track action items, follow up with stakeholders, and ensure timely completion of assigned tasks.
  • Support day-to-day project operations and routine coordination activities.

Project Support & Delivery

  • Support two primary types of initiatives:
  • Projects requiring the creation of project charters and foundational governance documentation.
  • Projects where senior leaders provide direction (e.g., a one-hour knowledge transfer or briefing), after which the coordinator independently develops materials and drives next steps.
  • Take ownership of small to mid-sized "mini-projects" from initiation through completion.
  • Support go-live readiness activities, ensuring tasks, resources, and dependencies are aligned.

Reporting & Executive Support

  • Prepare concise and professional status reports and updates for senior executives.
  • Highlight risks, dependencies, and resource needs clearly and proactively.

Resource & Readiness Focus

  • Support resource planning and coordination across initiatives.
  • Focus less on budget tracking and more on operational readiness, task sequencing, and capacity planning.

Qualifications

  • 3+ years of experience in a Project Coordinator, Project Analyst, or similar role.
  • Strong organizational and time-management skills with the ability to manage multiple workstreams.
  • Excellent written and verbal communication skills, particularly for executive-facing documentation.
  • Experience supporting governance, charter development, or structured project environments is an asset.
  • Comfortable working independently after receiving high-level direction.
  • Proficiency with common project tools (e.g., MS Teams, SharePoint, Excel, or similar).
