People Operations Coordinator

What You'll Do
The People Operations Coordinator is responsible for day-to-day administration of all Specsavers Canada people activity. This will include being a point of contact for HR queries from our people including providing advice and guidance on people practices, managing employee life cycle processes such as onboarding and offboarding, and accurate and timely updating of all people data. The role will provide operational support to members of the Canadian People and Organization team as required.
Key Responsibilities
Employee life cycle processes:
- Managing employee life cycle processes across all Canadian Support Offices, Manufacturing and Distribution sites and wholly owned stores
- Managing the onboarding process for new joiners in line with established procedures, including coordinating inductions and maintaining associated materials
- Managing the offboarding process for departing employees in line with established procedures
- Coordinating employee movements, including role changes, and promotions in line with established procedures
HR Administration and support:
- Maintaining accurate and up to date employee data across all systems, including creating and maintaining employee files, updating Success Factors and HR spreadsheets and undertaking basic people reporting
- Providing complete, timely and accurate employee information to the payroll and benefits team to ensure efficient payroll processing
- Responding to routine queries from Canadian Support Office, Manufacturing and Distribution employees and Store Partners/managers
- Give first line straightforward HR advice to managers, ensuring compliance with Federal and Provincial employment legislation and Specsavers Canada people guidelines
- Drafting standard written correspondence e.g. verification of employment
- Accurately tracking and maintaining leave entitlements for Canadian Support Office and Manufacturing and Distribution employees in line with agreed processes
Other duties:
- Contribute to continuous improvement of people processes
- People and Organization ad hoc project support
- Input into the Canada Support Office SharePoint HR pages and other employee communications
What We're Looking For
- 1-3 years of HR administration experience
- Proven strong administration skills with high attention to detail
- Ability to manage multiple priorities and work to deadlines
- Demonstrated ability to display discretion and confidentiality in dealing with sensitive employee data and matters
- Proficiency in Microsoft Office; intermediate Word, Excel and PowerPoint skills
- Strong communication skills (written and oral) with the ability to interact with all levels of the business
Nice to have:
- Experience with HRIS systems
- HR experience in a multi-province and/or global organization
- Strong history of applying continuous improvement concepts and tools
Compensation: $60,000 – $65,000 base salary, plus quarterly bonus, profit sharing, and benefits. Actual compensation will be determined based on experience.
