Role Overview:

We are currently looking for an IT Procurement Specialist to join our team. The Procurement Specialist is responsible for supporting the Sales team by delivering accurate quotes, sourcing products at the best possible terms, and ensuring smooth procurement processes. This role requires strong communication, problem-solving skills, and attention to detail to maintain excellent customer service and operational efficiency.

Key Responsibilities

Sales Support & Quoting

  • Respond promptly to service and product detail requests from the Sales team.
  • Prepare accurate and timely quotes for customers.
  • Create deal registrations, discount plans, and follow vendor procedures to maximize profitability.
  • Provide suitable alternatives when product or service challenges arise.

Vendor & Distributor Coordination

  • Liaise with distributors and manufacturers to obtain BOMs, pricing, and product availability.
  • Research and secure the best pricing, availability, and terms from vendors.
  • Maintain up-to-date knowledge of company product offerings and pricing.

Procurement & Order Management

  • Verify accuracy of customer quotes and subsequent purchase orders.
  • Purchase products from distributors and manufacturers at optimal pricing.
  • Process and confirm purchase orders with selected vendors.
  • Monitor order status, track delivery timelines, and resolve any issues related to products or shipping.

Cross-Team Collaboration

  • Work closely with Pre-Sales and Post-Sales technical teams to understand requirements.
  • Communicate challenges effectively to internal teams to manage customer expectations.
  • Escalate critical issues to management to prevent operational disruptions.

Administration & Compliance

  • Maintain accurate records on company productivity systems.
  • Complete daily administrative tasks to ensure smooth operations.
  • Adherent to company policies, processes, and enforce gross margin thresholds.
  • Assist with additional sales support tasks as directed by management.

Customer Service

  • Communicate with customers when necessary to ensure a positive experience and timely resolution of issues.

Skills and Qualifications:

  • Strong organizational, presentation, and customer service skills
  • Keen sense of urgency and attention to detail
  • Experience with the procurement process in a technology company
  • Demonstrate ability to work efficiently and effectively in a high-paced team environment
  • Proficient with general office applications and current technology
  • Enjoy working with customers and company staff
  • Self-motivated, high energy and drive to succeed
  • Solid verbal and written communication skills
  • Ability to prioritize, multi-task and adapt to changes quickly
  • Effective time management and prioritization skills

  • Experience working with , Autotask, ConnectWise or similar CRM
  • Experience working with QuoteWerks or similar quoting software
