The Medical Receptionist will handle appointment scheduling, patient check-in and check-out, and administrative duties to support our aestheticians and nurses enhance patient experience.

Responsibilities

  • Greet patients warmly and professionally upon arrival
  • Manage appointment scheduling and coordinate patient flow using electronic health record systems
  • Verify patient insurance information and collect necessary documentation
  • Handle phone inquiries with proper phone etiquette, providing accurate information or directing calls appropriately
  • Perform check-in/check-out procedures, including updating patient records and processing payments using POS systems
  • Assist with billing, cashiering, and cash handling tasks accurately and securely
  • Maintain organized files and ensure confidentiality of patient information
  • Upsell additional services or products when appropriate to enhance patient care experience
  • Support administrative tasks such as data entry, basic math calculations, and organizational duties to ensure clinic efficiency

Experience

  • Prior experience in medical spa, customer service or retail sales is required, especially in a fast-paced environment
  • Bilingual skills (English plus additional languages) are highly desirable to serve diverse patient populations
  • Familiarity with POS systems, cashiering, and basic math skills are advantageous
  • Sales and upselling experience required
  • Strong communication skills, time management, and organizational abilities are essential for success in this role
  • Experience with technology sales or product demos is a plus but not required
  • Previous healthcare reception or administrative experience is mandatory; training will be provided for the right candidate
