Job Overview

We are seeking a professional and organized Medical Receptionist to join our medical spa team. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service and ensuring smooth clinic operations. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently. Bilingual abilities and experience with technology sales or product demos are considered valuable assets. The Medical Receptionist will handle appointment scheduling, patient check-in and check-out, and administrative duties to support our aestheticians and nurses enhance patient experience.

Responsibilities

  • Greet patients warmly and professionally upon arrival
  • Manage appointment scheduling and coordinate patient flow using electronic health record systems
  • Verify patient insurance information and collect necessary documentation
  • Handle phone inquiries with proper phone etiquette, providing accurate information or directing calls appropriately
  • Perform check-in/check-out procedures, including updating patient records and processing payments using POS systems
  • Assist with billing, cashiering, and cash handling tasks accurately and securely
  • Maintain organized files and ensure confidentiality of patient information
  • Upsell additional services or products when appropriate to enhance patient care experience
  • Support administrative tasks such as data entry, basic math calculations, and organizational duties to ensure clinic efficiency

Experience

  • Prior experience in medical spa, customer service or retail sales is required, especially in a fast-paced environment
  • Bilingual skills (English plus additional languages) are highly desirable to serve diverse patient populations
  • Familiarity with POS systems, cashiering, and basic math skills are advantageous
  • Sales and upselling experience required
  • Strong communication skills, time management, and organizational abilities are essential for success in this role
  • Experience with technology sales or product demos is a plus but not required
  • Previous healthcare reception or administrative experience is mandatory; training will be provided for the right candidate
