The following is a short-term contract opportunity for approximately 6 months, working 35 hours per week.
The Project Manager, Office of the Registrar (OTR) works in a collaborative role to provide short-term project management support to specific concurrent initiatives. In this role, you will work with the Manager, CQI to coordinate timelines, resources and communications to ensure project objectives are achieved efficiently and effectively
KEY RESPONSIBILITIES:
- Collaborate with the Manager, Continuous Quality Improvement and various project sponsors to execute on the project objectives for initiatives that focus on process improvements, documentation and alignment within CPSA regulatory departments.
- Support project and partner coordination and planning:
- Provide support to the project team members, ensuring effective communication, resource planning, support and monitoring throughout the project life cycle.
- Develop and maintain detailed project charters for each assigned project, clearly defining scope, deliverables, milestones, timelines, and key performance indicators (KPIs).
- Define and document roles and responsibilities for all project team members and report on follow-through of action items.
- Establish and maintain project plans, schedules, and utilize tools to track task ownership and completion to ensure alignment and accountability across teams.
- Arrange and facilitate regular project meetings to monitor progress, address challenges and ensure consistent communication amongst team members.
- Prepare and circulate meeting agendas, minutes and action items, while ensuring the project teams timely follow-through on outstanding tasks.
- Coordinate and communicate with project sponsors from each project area, providing status updates.
- Cross-functional support coordination:
- Collaborate with internal support services, which may include Information Management, Finance, and Communications, to ensure timely engagement and resource support for each project.
- Act as a central point of contact to coordinate resources and resolve scheduling or dependency issues across projects.
- Maintain an overview of project interdependencies and flag risks or barriers to the CQI Manager and project sponsors.
- Monitoring and reporting:
- Track project progress against milestones and deliverables, providing regular status updates and summary reports to project sponsors and leadership.
- Identify and escalate risks, delays, or scope changes promptly and propose mitigation strategies where appropriate.
- Manage and ensure quality control of deliverables across project implementation and lifecycle.
- Contribute to final project documentation, including lessons learned and post-project evaluations.
- In support of continuous quality improvement, review and make recommendations to update processes or procedures within CPSA.
QUALIFICATIONS:
Required Minimum Qualifications
- Diploma in Project Management, Business Administration, Health Administration, or another relevant field
- 3 years of project coordination or project management experience, with preference for experience in a public sector, regulatory, or healthcare environment
- Experience managing or supporting multiple concurrent projects with cross-functional teams
Preferred Qualifications and Experience
- Strong understanding of project management principles and tools
- Demonstrated ability to use project management software to track milestones, manage dependencies, and produce project reports
- Excellent organization, prioritization, and time-management skills
- Demonstrated ability to build relationships and communicate effectively with diverse internal partners
- Proficient with Microsoft Office 365 and project management tools such as MS Project, Planner, or Trello
- Exceptional attention to detail with strong analytical and documentation skills
- Ability to be self-motivated, adaptable, and able to work both independently and collaboratively in a dynamic environment
SALARY
The salary for this six-month contract position is $48,781 and includes a small benefit package.
