Job Summary
We are seeking a highly organized and detail-oriented Legal Office Manager to oversee the daily operations of our legal office. The successful candidate will manage administrative workflows, support legal professionals, ensure compliance with office procedures, and maintain an efficient and professional work environment.
This position requires someone with strong leadership abilities, excellent communication skills, and experience working in a legal setting.
Key Responsibilities
Office Administration & Operations
- Manage the daily operations of the legal office, including scheduling, correspondence, filing systems, and client intake.
- Oversee and implement office policies, procedures, and quality-control best practices.
- Maintain confidential client records and ensure compliance with legal and regulatory requirements.
- Coordinate office supplies, equipment maintenance, and vendor relationships.
Staff Supervision
- Supervise and train administrative staff, law clerks, or assistants.
- Assign tasks, monitor performance, and ensure workload distribution.
- Assist in recruitment and onboarding of new office staff.
Financial & Billing Support
- Oversee billing procedures, invoicing, accounts receivable, and basic bookkeeping tasks.
- Prepare financial reports for management as required.
Client Relations
- Manage client inquiries, appointments, and communication with professionalism and discretion.
- Assist with conflict checks, client onboarding, and documentation.
Legal Support Duties
- Draft, edit, and proofread legal documents, correspondence, and forms.
- Assist with case preparation, file management, and court or tribunal submissions.
- Ensure deadlines are tracked and met, including court dates, hearings, and deliverables.
Compliance & Risk Management
- Ensure adherence to ethical rules, privacy laws, and law society requirements.
- Maintain office security, data protection practices, and document retention policies.
Qualifications
Education & Experience
- Postsecondary diploma or degree in Legal Administration, Office Administration, Paralegal Studies, or a related field.
- Minimum 1–2 years of experience in a legal environment (law firm, paralegal firm, corporate legal department).
- Previous experience in office management or supervisory roles is an asset.
Skills
- Strong knowledge of legal terminology, legal procedures, and documents.
- Excellent organizational and multitasking abilities.
- Strong communication skills (oral and written).
- Proficiency with legal management software and MS Office (Word, Outlook, Excel).
- Ability to maintain confidentiality and handle sensitive information.
- Strong attention to detail and accuracy.
