Overview

We are seeking a highly organized, dependable and proactive individual to join our physiotherapy clinic as an Office Administrator/Manager. The ideal candidate will play a key role by ensuring smooth operation of our clinic to enhance our patient's experiences. This position requires the candidate to perform a full range of administrative duties and also requires strong and effective communication skills. This position requires a solid background in office administration, excellent organizational skills, creative problem solving skills and a willingness to learn/try new things as required. Previous experience with Jane software would be an asset but is not required.

Responsibilities Include (but are not limited to):

  • Overseeing and managing the general operations of our clinic;
  • Welcoming patients, answering phones, replying to emails and scheduling patients;
  • Processing payments;
  • Reconciling daily deposits;
  • Electronic billing;
  • Maintaining accurate electronic medical records, filing systems, and wait list management
  • Ensuring necessary supplies and materials are organized and stocked;
  • Keeping the office tidy;
  • Light cleaning and laundry duties;
  • Assisting and interacting professionally with other team members;
  • Maintaining patient and workplace confidentiality;
  • Hiring, supervising, training and mentoring other staff as required;
  • Inventory and ordering of equipment and supplies;
  • Assisting with budgeting, expense tracking, and financial reporting;
  • Providing clerical support including data entry, document preparation, billing and correspondence; and
  • Support office projects, organize meetings/team building events.

The successful candidate will have:

  • A cheerful, friendly attitude;
  • A commitment to providing outstanding, compassionate patient care;
  • Professional appearance including clothing and grooming;
  • Work experience as an office manager, receptionist, front office representative or customer service representative;
  • Excellent computer skills and a willingness to work with new software;
  • Experience using Excel and Microsoft Word;
  • Solid written and verbal communication skills;
  • Great time management and organizational skills with attention to detail;
  • Willingness to support all aspects of the practice as needed;
  • Ability to work in a fast-paced environment and task-switch as needed;
  • Willingness to learn and take additional training as required;
  • Ability to problem solve and work independently without direct supervision; and
  • An excellent telephone manner.

Job Type: Full-time

Pay: $22.00-$27.00 per hour

Expected hours: 36 – 40 per week
