The Office Administrator is responsible for front desk responsibilities as well as payroll and financial administrative tasks.

This position requires working five days per week in the Vancouver office. Responsibilities include answer incoming calls and emails, sorting mail, bank deposits, scheduling and receiving courier packages. Also responsible for running ROE's, collating, and preparing union and minor trust remittance packages.

Core Responsibilities

  • Answer and transfer incoming calls on the main line

  • Process Records of Employment (ROE)

  • Process daily bank deposits

  • Schedule and organize local, national and international packages

  • Collect and sort incoming mail / prepare outgoing mail

  • Collate and prepare union remittances and other remittances as required

  • Code and submit incoming A/P invoices

  • Scan and email documents as required

  • Track and order office supplies

  • Attend meetings as required

  • Other related duties as assigned

Key Qualifications

  • Minimum 3-5 years in administrative role required

  • Excellent written and oral communication skills

  • Excellent time management

  • Ability to multi-task

  • Must exhibit sense of urgency and excellent customer service

  • Allocates own time efficiently

  • Maintain a positive working relationship with all individuals

  • Treats people with respect

  • Must be able to work overtime as needed

Preferred Qualifications

  • Uses technology to enhance productivity

  • Knowledge of Microsoft office products including Excel, Teams, etc.

Special Work Conditions

  • Sedentary – Involves sitting most of the time but may involve walking or standing for brief periods of time. Some positions may entail exerting up to 15 lbs. of force occasionally and/or a negligible amount of force to lift, carry, push, or pull.

Compensation is commensurate with various factors including, but not limited to, relevant experience, qualifications, skills, training, licensure, certifications, geographic cost of labor, and other business and organizational needs. Compensation range for candidates in other locations may differ based on the cost of labor in that location. The compensation range for this position is: $ $26.00 per hour.
