Our client, Agnihotri Immigration is a licensed immigration consulting firm that operates in located across the vibrant Lower Mainland of British Columbia, with offices in Surrey, Burnaby, Abbotsford, and Kelowna.

This is an opportunity for an Administrative Assistant role to support compliant, timely immigration case processing through effective document management, workflow coordination, and client service. Reporting to the Immigration Consultants, you will be providing administrative and clerical support to our immigration consulting practice. The successful candidate will work in a fast-paced office environment.

Responsibilities

  • Provide administrative and clerical support to licensed immigration consultants and office staff.
  • Follow established office procedures, templates, and administrative workflows.
  • Prepare, format, and process retainer agreements and standard administrative documents using approved templates.
  • Prepare invoices, record payments, issue receipts, and maintain accurate billing and financial tracking records.
  • Draft, proofread, and format routine correspondence, forms, and client-facing documents.
  • Collect, organize, and maintain client information and supporting documentation for administrative processing and file management.
  • Assist with the administrative preparation and completion of immigration application forms strictly based on information provided by clients and under the direction of licensed consultants.
  • Create, update, and manage online client accounts and government portals for application submission and status tracking.
  • Monitor internal procedural updates relevant to daily administrative operations.
  • Receive and respond to general inquiries by phone, email, and in person, and route matters to appropriate licensed personnel.
  • Schedule, confirm, and coordinate client appointments, consultations, and follow-up meetings.
  • Maintain accurate manual and electronic filing systems in compliance with record-retention and confidentiality requirements.
  • Greet and assist clients and visitors during scheduled appointments.
  • Ensure secure handling and confidentiality of client, personal, and financial information in accordance with privacy legislation and professional standards.
  • Assist with the preparation of routine administrative reports, tracking logs, and file status summaries.

The ideal candidate is highly organized, detail-oriented, and dependable, with the ability to manage multiple administrative tasks accurately in a fast-paced environment. You demonstrate strong written and verbal communication skills, follow established procedures with consistency, and maintain strict confidentiality when managing sensitive client and financial information.

Qualifications & Experience
Education & Experience

  • Completion of secondary school. Post-secondary education in office administration or a related field is an asset.
  • Minimum 1-2 years of related administrative or clerical experience, preferably in an immigration or legal services office.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Strong written and verbal communication skills.
  • Ability to manage changing priorities and meet deadlines.
  • High level of accuracy and attention to detail.
  • Ability to type a minimum of fifty (50) words per minute.
  • Professional, dependable, and discreet.
  • Ability to work independently and as part of a team.
