Overview

We're seeking an Experienced Legal Assistant who enjoys keeping files organized, communicating with clients, and co-workers, and ensuring cases move forward efficiently. This is a dynamic, full-time role based downtown Ottawa, offering benefits and a wide variety of work each day.

You'll have the opportunity to grow your knowledge of litigation, applying your experience to make informed, independent decisions that keep the lawyer and office running smoothly.

The role also includes reception duties, so you'll be the welcoming first point of contact for clients and professionals alike — someone who enjoys a balance of organization, communication, and meaningful client interaction.

Key Responsibilities

  • Open and close the office, as needed, ensuring a tidy and professional environment
  • Receive and organize incoming email and correspondence, routing items appropriately
  • Diarize required steps and follow up on tasks to meet critical deadlines
  • Draft letters, emails, and legal documents (including boilerplate forms, undertakings charts, and standard filings)
  • Enter and maintain data accurately in Clio, Quickbooks and related systems
  • Communicate professionally with counsel, clients, and third parties
  • Prepare and send outgoing correspondence and records
  • Schedule appointments, manage calendars, and coordinate meetings (including Teams)
  • Greet clients and manage reception duties with professionalism and warmth
  • Scan, file, and organize electronic and paper documents
  • Perform conflict checks and maintain records
  • Attend office meetings and assist with office administration tasks
  • Support office organization using SharePoint and Planner
  • Other duties and miscellaneous tasks as needed

Experience & Skills

  • Minimum 3 years' experience as a Legal Assistant (civil litigation experience strongly preferred)
  • Experience in plaintiff personal injury or Accident Benefits law is an asset
  • Proficiency with MS Office (Word, Outlook), Clio, QuickBooks, and document management systems such as SharePoint and Planner.
  • Strong administrative and proofreading skills with attention to accuracy and detail
  • Excellent communication and phone etiquette
  • Ability to prioritize tasks and make independent decisions in a fast-paced environment
