What we expect

Role Responsibilities

  • Maintain and update the billing spreadsheet with new project bookings and current billing contacts (POCs) for District Managers (DMs) and Project Managers (PMs).
  • Follow up with branches to collect completed billing sheets and ensure documentation accuracy.
  • Prepare draft invoices and send to customers and consultants for approval.
  • Set up Schedules of Values (SOVs) in Oracle ERP for new jobs.
  • Enter billing information in Oracle ERP and generate invoices upon approval.
  • Prepare and send invoice packages via email or upload them to customer portals.
  • Complete credit/rebill request forms, secure approvals, and process transactions in the ERP system; attach approved documentation to invoices.
  • Prepare ad hoc AR invoices as needed.
  • Process bad debt write-offs and tax adjustments on invoices when required.
  • Respond promptly to internal and external inquiries related to billing or invoice discrepancies.
  • Perform billing reconciliations and support month-end and year-end processes.
  • Assist with audit requests and documentation support.
  • Perform other related duties as assigned.

Who we are looking for

RoleQualifications

  • Diploma or degree in Accounting, Finance, or Business Administration preferred.
  • 2–3 years of construction billing or accounting experience required.
  • Experience working with Oracle ERP (or similar enterprise systems).
  • Advanced Excel proficiency (tracking, reconciliation, reporting).
  • Familiarity with billing workflows, SOVs, and credit/rebill processes.
  • Strong attention to detail and organizational skills.
  • Effective communication and follow-up with internal stakeholders and customers.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
