We are seeking a dedicated and organized Optometry Assistant to join our professional eye care team. The successful candidate will provide vital administrative and clinical support, ensuring smooth daily operations within our practice. Responsibilities
- Greet patients warmly and assist with appointment scheduling, confirmations, and follow-ups
- Manage patient records accurately using the iCare EMR software
- Handle phone enquiries professionally, providing information and directing calls as necessary
- Process OHIP and third-party insurance claims
- Perform data entry tasks efficiently, maintaining up-to-date patient information
- Support the optometrists during eye examinations by preparing equipment and assisting with patient needs
- Organize and maintain the cleanliness of the reception area and clinical spaces including light cleaning duties
- Use Microsoft Office, Google Workspace, and QuickBooks for administrative tasks such as invoicing, billing, and reporting
- Assist with general administrative duties including filing, photocopying, and managing correspondence
- Perform preliminary testing (autorefractor, IOP measurement, retinal imaging, auto lensometry), frame selections, taking measurements, contact lens training, adjusting and repairing glasses
- Managing inventory of the entire clinic including ordering frames, lenses, contact lenses, eye drops, solutions etc., as well as office supplies/consumables
- Responsible for checking and responding to all office e-mail and social media accounts, as well as web queries
- Managing referrals to other eye care practitioners
Requirements
- Must be a Canadian Citizen who can legally work in Canada
- Proven office experience with strong organizational skills
- Proficiency in computer skills including Microsoft Office (Word, Excel), Google Workspace, and data entry software
- A minimum of 2 years experience in an optometry or ophthalmology office is required
- Knowledge of OHIP billing, iCare EMR, and direct billing with insurance providers is a must
- Excellent phone etiquette and communication skills
- Ability to type quickly and accurately to manage documentation efficiently
- Familiarity with QuickBooks or similar accounting software is advantageous
- Strong organizational skills with attention to detail
- Ability to work effectively both independently and as part of a team
