The Junior HR Assistant provides administrative support to the Human Resources department. This entry-level position focuses on data entry, employee record maintenance, benefits administration support, and preparation of HR documents. The role is ideal for a candidate to begin a career in Human Resources and to develop HR administrative skills while supporting daily HR operations.
Key Responsibilities
HR Administration & Data Entry
- Enter and update employee data in various HR systems (ShotGrid, ADP, HiBOB)
- Maintain accurate and up-to-date employee records
- Verify data accuracy and report inconsistencies when identified
- Assist with routine HR administrative tasks and filing
Benefits & Employee Support
- Support regular updates to employee benefits plans
- Maintain benefits documentation and records
- Answer basic employee questions related to benefits and HR administrative processes
- Redirect complex inquiries to the appropriate HR team member
Tax Credit & HR Forms
- Assist in the preparation and transmission of tax credit forms
- Support responses to employee questions related to tax documentation
- Ensure proper filing and tracking of HR forms
HR Documentation
- Prepare HR letters, employment confirmations, and official correspondence
- Assist with employment contract extensions, amendments, and other HR documents
- Ensure documents are properly completed, stored, and archived
Policies & Procedures Support
- Assist in formatting, updating, and correcting HR policies and procedures
- Support the preparation of HR forms and templates
- Help prepare HR forms and templates used across the organization
- Diploma or degree (or in progress) in Human Resources, Business Administration, or related field
- Previous experience in an HR administrative or assistant role is an asset
- Strong attention to detail and high level of accuracy
- Proficiency with HR systems and Microsoft Office (especially Excel and Word)
- Ability to handle confidential information responsibly
- Good written and verbal communication skills
- Willingness to learn and take directions
- Bilingual (French and English)*
