Executive Assistant (EA) to CEO
Job description:

About the Role
We are seeking a resourceful, high-EQ Executive Assistant to
partner with our CEO and keep the engine running smoothly in a high-growth
(pre-IPO) fintech environment. You will orchestrate complex calendars,
prioritize time ruthlessly, prepare agendas/briefs, capture decisions and
action items, coordinate travel and expenses, and serve as a trusted gatekeeper
with impeccable judgment and confidentiality. You'll also drive follow-through
across teams turn recurring work into clean checklists/notes/templates and
ensure nothing falls through the cracks.
Qualifications
- 0–2
years in EA/administrative/operations roles (exceptional new grads
welcome). - Communication:
Clear, concise written & verbal English & Mandarin; can draft
executive-level emails and summaries. - Professional
presence: Polished, discreet, and calm under pressure; strong stakeholder
management. - Organization
& tools: Expert with Google Workspace/Calendar, Slack, and docs; fast
with meeting notes, action logs, and task trackers
(Notion/Confluence/Sheets). - Execution
mindset: High diligence, ownership, and reliability; excellent
prioritization and time management. - Nice
to have: Experience handling complex calendars, travel logistics,
expenses, and board/leadership meetings.
What You'll Do
- Own
the CEO calendar: schedule, sequence, and protect time; resolve conflicts
across time zones and priorities. - Run
meetings end-to-end: prep agendas/briefs, document decisions, track
actions, chase deadlines, and circulate clean notes. - Travel
& expenses: coordinate domestic/international travel, visas,
itineraries; submit and reconcile expenses on time. - Inbox
& stakeholder comms: draft emails, coordinate with internal teams and
external partners; uphold confidentiality. - Projects
& events: support exec initiatives, on-sites, investor/partner
meetings, and light ops tasks to keep momentum.
