Position Title: Marketing and Sales Coordinator
Department: Marketing
Reports To: Partnership Manager 
Location: 135 Michael Cowpland Drive, Kanata, Ontario
This role is a new addition to our organization.

About the Role

We are looking for a Marketing and Sales Coordinator to support our marketing and sales teams in the planning, coordination, and execution of initiatives that drive awareness, engagement, and growth.

Reporting into the Partnership Manager, this role will help manage schedules, track calendars, follow through on tasks, and ensure projects are executed efficiently and on time. You'll also contribute to the development and continuous improvement of business processes that support collaboration and alignment between the Marketing and Sales departments.

The ideal candidate is detail-oriented, proactive, and enjoys coordinating multiple moving parts, from planning and scheduling to process optimization and event coordination.

Key Responsibilities

  • Support the planning and execution of marketing campaigns, events, and promotions.
  • Coordinate and maintain shared calendars for marketing and sales activities, including meetings, campaigns, and events.
  • Schedule and track key deadlines, milestones, and follow-ups to ensure timely delivery of tasks and projects.
  • Follow through on assigned tasks and ensure project stakeholders complete their deliverables.
  • Assigned and follow through on partner training initiatives to ensure employees complete their certificates.
  • Validate attendance and participation for events, meetings, and promotional activities.
  • Maintain up-to-date records of marketing and sales initiatives, including campaign results, event attendance, and follow-ups.
  • Maintain up-to-date records of marketing and sales materials.
  • Assist with internal communication between marketing, sales, and external partners.
  • Help organize trade shows, webinars, or customer-facing events (from registration to post-event reporting).
  • Track leads and support sales enablement activities such as CRM updates, reporting, and coordination of client meetings. (we want to investigate leads that come from website campaigns, and need some to sanitize the fake to real)
  • Support content development by coordinating design requests, reviewing materials, and ensuring brand consistency.
  • Prepare regular reports on project status, campaign performance, and engagement metrics.
  • Assist in developing, documenting, and updating business processes for the Marketing and Sales departments to ensure operational efficiency and alignment.
  • Identify opportunities for workflow improvement and collaborate with the Marketing Director and Event Lead Planner to implement changes.

Qualifications

  • Post-secondary education in Marketing, Communications, Business Administration, or a related field.
  • 1–3 years of experience in administrative coordination role (internship or professional).
  • Strong organizational and time-management skills with attention to detail.
  • Proven ability to manage and coordinate calendars and schedules effectively.
  • Excellent communication and interpersonal abilities.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint) and comfortable using CRM or project management tools (e.g., HubSpot, Asana, Salesforce, Outlook, Google Workspace).
  • Ability to manage multiple priorities and adapt to shifting deadlines.
  • Collaborative mindset and a proactive attitude.
  • Experience documenting or improving business processes is considered an asset.
