Our Business Systems and Process team is looking to add an Operations Support Coordinator, based in our Surrey, BC office.

Reporting to the Director, Business Systems and Processes, we are seeking a proactive, organized professional to provide Executive & Operational Support, while also playing a key role in fleet cost reporting, office operations, and corporate coordination. This is a dynamic, hands-on position that requires someone who is comfortable wearing multiple hats, managing competing priorities, and following tasks through to completion.  This role works closely with senior leadership and interacts with Finance, Fleet, Corporate, and external partners.

Please Note:  While the position involves financial and reporting responsibilities, it is not an accounting role.

Duties and Responsibilities
  • Review, code, and process invoices related to fleet and operational costs
  • Work closely with Finance to support monthly spend tracking and reporting
  • Assist with reconciliations, cost summaries, and variance reporting
  • Maintain accurate records and documentation related to operational expenses
  • Coordinate with landlords and parent company regarding lease agreements and required documentation
  • Manage contract files, renewals, and compliance paperwork
  • Support audits or internal reviews related to leases or facilities
  • Oversee day-to-day operations of a small office (approx. 4 staff)
  • Order office supplies and manage vendors (cleaning, pest control, maintenance, etc.)
  • Ensure the office remains functional, organized, and welcoming
  • Address office issues proactively and see them through to resolution
  • Provide day-to-day administrative and coordination support to senior leadership
  • Manage calendars, meetings, correspondence, and follow-ups
  • Track action items and ensure commitments are followed through across teams
  • Act as a key point of contact between the EVP and internal/external stakeholders

Requirements

  • Post-Secondary education in a related field
  • 3 years of experience in an administrative, operations, executive assistant, or coordination role
  • (Entry-level candidates with strong aptitude and willingness to learn will be considered)
  • Strong organizational skills with the ability to manage multiple priorities
  • Experience with invoice processing, cost coding, or financial reporting
  • Comfortable working with Excel and basic financial data
  • Professional, outgoing, and confident communicator (written and verbal)

This position offers a base salary range of $70 000 – $90 000 annually, depending on experience and qualifications.
