BASIC FUNCTION:

The Operations Coordinator is responsible for coordinating daily operations and Field Technician activity by working with priorities set by the Operations Manager and Field Supervisor.

QUALIFICATIONS

The following are the principal qualifications for this position:

Experience

  • Superior communication skills with internal and external customers
  • Detail-oriented
  • Experience in field service reporting is a valuable asset
  • Strong customer service skills, both internal and external
  • Experience with water management systems is a valuable asset
  • Proficiency with MS Office, particularly MS Word and Excel

MAJOR DUTIES:

The following are the duties for the Operations Coordinator:

Project Coordination:

  • Serve as the Operations department's central contact point for interdepartmental communication between Sales, Finance, and Operations
  • Communicate relevant information to the Project Accountant and Sales team by reviewing and filing Field Service Reports, Work Orders, and Timesheets
  • With direction from the Operations team, make arrangements for shipping and logistics to ensure safe and timely delivery of equipment
  • Send relevant project documents (drawings, job sheets, quotes, etc.) to Field Technicians 1–2 weeks in advance of the project
  • Determine and understand the client's construction schedule (concrete pouring, excavation, etc.) and notify Field Technicians to support mobilization, site visits, and demobilization; collect updated schedules monthly
  • Review job sheets, quotes, and purchase orders prior to job commencement to understand job scope and system requirements
  • Schedule weekly site visits in the Work Planning Tool based on input from the Field Supervisor or Operations Manager, and track site visits daily
  • Follow up with Field Technicians to ensure As-Built Reports are completed upon mobilizations and demobilizations to accurately track inventory, wear and tear, and mechanical failures
  • Review job site plans prior to site commissioning and plan equipment distribution and setup based on access and available space
  • Schedule toolbox meetings with Technicians assigned to the project site
  • Ensure all necessary parts and equipment are available for upcoming mobilizations and routine service and maintenance

Meetings:

  • Contribute to the issues list by identifying departmental or company-wide issues and supporting solution development
  • Implement and update the Project Tracker (site spreadsheet) daily by actively collecting information from the Sales and Operations teams
  • Update the Project Tracker and make it available to Lionsgate employees via OneDrive
  • Attend weekly Technician meetings to ensure upcoming project information is reflected in the project tracking tool
