THE ROLE
The Property Management Administrator role works closely with the Property Management team to ensure the operational and administrative functions of the assigned portfolio are running seamlessly. The ideal candidate for this role is people-focused, highly organized, and brings exceptional interpersonal skills.
RESPONSIBILITIES
Tenant Relations
- Support the property managers and operations team to provide outstanding tenant experience.
- Compose and send tenant communications at the direction of the property manager or building operator.
- Track tenant workorders to ensure service requests are rectified in a prompt, effective and cost-efficient manner.
- Assist with planning tenant events.
- Support the Property Managers and ensure that all policies, procedures, and operations are conducted effectively.
- Prepare and distribute tenant letters & notices per the notice requirement in each tenant's lease.
Administration
- Maintain and update tenant and vendor documentation, including tracking of tenant insurance requirements.
- Accounting related administrative tasks, including invoice coding, following up on outstanding arrears with tenants, and preparing associated forms for property manager approval (i.e. cheque requisitions).
- Monitor all workorders that are received and follow-up on outstanding requests each week.
- Manage Commercial Café access for tenants. Including updating tenant contact forms for new and existing tenants.
- Update and maintain tenant manuals/guides for each property.
- Prepare communication materials as necessary.
- Other ad hoc tasks or projects to maintain optimal property management operations as directed.
QUALIFICATIONS & REQUIREMENTS
- 1-3 years of experience administering a mixed portfolio of office, industrial, retail, or multifamily properties in the capacity of PM Administrator.
- Excellent organizational, time management and prioritization skills
- Solid understanding of business professionalism and the ability to work effectively under pressure within a fast-paced team environment.
- Exceptional interpersonal and communication skills (both verbal and written) are required.
- A dedication to providing first-class service, every day, and always striving to do the right thing.
- Strong computer skills and proficiency in Yardi, MS Teams, Outlook, Excel, Word, and SharePoint applications
- Strong understanding of business professionalism and the ability to work effectively under pressure within a fast-paced team environment.
- Exceptional verbal and written communication skills.
