Job Overview
We are seeking a detail-oriented and highly organized Document Specialist to join our team. The ideal candidate will possess strong analytical and communication skills, with the ability to manage a variety of documentation tasks efficiently. This role involves working with various software applications, maintaining records, and ensuring that all documents are accurate and accessible. A bilingual candidate, particularly fluent in French, would be an asset to our diverse team.
Responsibilities
- Create, edit, and manage documents using Microsoft Office applications including Word, Excel, PowerPoint, and Access.
- Organize and maintain electronic and physical filing systems for easy retrieval of documents.
- Collaborate with team members on project management tasks using Microsoft Project and SharePoint.
- Provide excellent customer service by addressing inquiries related to documentation processes.
- Conduct analysis of document workflows to improve efficiency and accuracy.
- Assist in procurement processes by managing records related to purchases and contracts.
- Prepare presentations and reports as needed, demonstrating strong writing and presentation skills.
- Ensure compliance with records management policies and procedures.
- Utilize negotiation skills when dealing with vendors or stakeholders regarding documentation needs.
- Lead projects or initiatives related to document management as required.
Requirements
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access) is essential.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Excellent written and verbal communication skills in English; proficiency in French is highly desirable.
- Previous administrative experience with a focus on records management is preferred.
- Familiarity with databases and filing systems is necessary for efficient document handling.
- Strong time management skills to meet deadlines without compromising quality.
- Demonstrated leadership abilities in previous roles or projects will be advantageous.
- Ability to work independently as well as collaboratively within a team environment.
