Job Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple responsibilities in a fast-paced environment. Experience in medical or dental offices is a plus, but we welcome candidates with solid clerical and administrative backgrounds. The successful applicant will play a vital role in maintaining smooth office operations and ensuring a positive experience for clients and staff alike.
Duties
- Greet visitors and patients warmly, ensuring a professional and friendly atmosphere
- Answer multi-line phone systems promptly and courteously, directing calls appropriately
- Manage appointment scheduling using software such as QuickBooks, Google Workspace, or similar platforms
- Perform data entry tasks accurately, including updating patient or client records
- Handle filing, document organization, and record keeping to ensure easy retrieval of information
- Assist with billing, bookkeeping, and basic financial record management as needed
- Support administrative functions such as proofreading documents, managing correspondence, and maintaining office supplies
- Maintain a clean and organized front desk area to promote a welcoming environment
- Provide excellent customer support by addressing inquiries professionally and efficiently
Experience
- Prior office experience preferred, especially in medical or dental settings
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience using multi-line phone systems and handling high call volumes
- Strong clerical skills including filing, data entry, proofreading, and organizational skills
- Familiarity with QuickBooks or similar bookkeeping software is advantageous
- Excellent phone etiquette and customer service skills required
- Ability to manage multiple tasks simultaneously while maintaining attention to detail
- Previous experience in medical or dental offices is a plus but not mandatory; training will be provided for specific systems used
