This position provides confidential senior secretarial and administrative services to the Deputy Minister of Health and Wellness. This position will also provide occasional support to the Minister of Health of Wellness.
Duties included but not limited to:
- Receiving all visitors and incoming calls to the Deputy Minister's Office, and redirecting to the proper channel.
- Reviewing all Deputy Minister's incoming mail (including electronic mail), evaluating correspondence and highlighting key points. Re-directing correspondence per Deputy Minister's instructions and maintain follow-up.
- Drafting memos, letters or other correspondence from verbal or written instructions.
- Preparing agendas and recording minutes for Senior Management meetings.
- Monitoring Deputy Minister schedule by arranging and confirming appointments, meetings and social events. Providing the Deputy Minister with background material relating to same.
- Maintaining close contact and a positive working relationship with Departmental personnel, and in particular, Departmental senior management team.
- Assisting the Deputy Minister and department staff in business related interactions with all levels of governments, respective agencies, and private sector.
- Interpreting legislation, departmental policies and programs when appropriate.
- Coordinating all travel and accommodation arrangements for the Deputy Minister and preparing and submitting travel claims.
- Order office supplies and issue Local Purchase Orders.
- Maintaining filing system.
- Perform other duties as required.
Minimum Qualifications:
- Successful completion of a recognized secretarial program/Office studies course or University degree.
- Extensive secretarial experience in providing administrative support to senior positions.
- Demonstrated equivalency will be considered
- Excellent interpersonal and written communication skills; strong attention to detail is critical.
- Must have a good working knowledge of legislation, department policies and programs.
- Working knowledge of Microsoft Office suite (Word, Excel, and PowerPoint) & Outlook 365, Microsoft teams, internet browsers.
- Excellent organizational skills and the ability to work independently without close supervision.
- A high degree of proficiency in English correspondence (editing and composing correspondence).
- Effective organizational and time management skills.
- Acceptable Criminal Records Check, including vulnerable sector check & good previous work and attendance record.
