ABOUT THE POSITION

This Administrative Associate will be instrumental as being the person our customers will be greeting whether it be in person or over the phone. This person will be responsible for guiding customers to the right person for the services they require. Be it accounts payables, sales desk, residential, commercial or industrial HVAC support and pricing. The role will be doing data entry throughout the day. Adding critical information to the enterprise resource management software. Doing so with a high degree of quality, minimizing errors and omissions for accurate reporting and customer satisfaction.

DUTIES

  • Answer all incoming phone calls and redirecting the call to the appropriate people
  • Address all walk-ins that come to the front desk and coordinate with the sales team and other office staff on their availability and suitability to assist in the customers' requirements
  • Distribute orders to the sales teams for pricing confirmation.
  • Maintain the filing systems, record keeping and the distribution of mail.
  • Record equipment serial numbers in our data base.
  • Assist with keeping office supplies replenished and maintain the front desk in a neat and orderly fashion.
  • Pricing of orders into the company enterprise resource management software for invoicing.
  • Entering credit returns into the company enterprise resource management software for credit.
  • Ensure all customers are treated in a professional manner and attend to queries, disputes, etc. promptly
  • Help organize and plan special events and meetings. Such as luncheons, customer appreciation events, internal social committees.
  • Provide administration support to sales teams, supervisors, and managers
