About the Practice

This position supports a busy practice that requires reliable, accurate, and compliant bookkeeping on a part‑time basis. The ideal candidate is someone who understands general bookkeeping using various applications, specifically the unique financial workflows of a Canadian law office. The candidate can work independently with minimal supervision, and is comfortable managing both trust and general accounting functions.

Key ResponsibilitiesTrust Accounting & Compliance

  • Maintain and reconcile trust accounts in full compliance with the applicable provincial Law Society rules.
  • Prepare monthly trust reconciliations, client trust ledgers, and trust liability listings.
  • Monitor trust transactions to ensure proper documentation and regulatory adherence.
  • Assist with Law Society spot audits or annual reporting requirements.

General Bookkeeping

  • Manage day‑to‑day bookkeeping, including accounts payable, accounts receivable, and bank reconciliations.
  • Record and categorize transactions accurately using the firm's accounting software (e.g., PCLaw, Clio, Cosmolex, QuickBooks).
  • Process vendor payments, expense reimbursements, and credit card reconciliations.
  • Maintain the general ledger and prepare adjusting entries as needed.

Billing & Client Accounting

  • Prepare and issue client invoices, including time‑based and flat‑fee billing.
  • Track retainers, trust transfers, and disbursements.
  • Monitor outstanding accounts and provide periodic A/R summaries.

Reporting & Administrative Support

  • Prepare monthly financial summaries for the lawyer, including cash flow snapshots and expense tracking.
  • Support year‑end processes and coordinate with external accountants.
  • Respond to financial inquiries from the lawyer and maintain organized digital records.

Qualifications

  • Minimum
    3+ years of bookkeeping experience
    , with
    1–2 years in a Canadian law office
    .
  • Strong understanding of
    trust accounting rules
    and Law Society compliance.
  • Proficiency with legal accounting software (PCLaw, Clio, Cosmolex, ESILaw, or similar).
  • Solid knowledge of Canadian accounting principles and GST/HST rules.
  • High attention to detail, confidentiality, and accuracy.
  • Ability to work independently and manage workload efficiently.
