Executive Assistant (Non-Union)
Full-time, 35 hours/ week, Hybrid

The Executive Assistant is responsible for providing confidential executive and administrative support to the Executive Management Team.
What you'll do:
- Liaises with the Executive and Senior Leadership Team and their administrative staff
- Schedules appointments/meetings, arranges conference calls, manages travel and accommodation arrangements
- Opens and reviews communications and daily correspondence (internal and external) and prioritizes or responds on behalf of Executive members
- Prepares agendas, required materials, meeting minutes and completes required follow-up and/or distribution
- Assists in the preparation of business presentations and reports
- Responsible for managing and maintaining accurate records and information.
- Maintains confidentiality at all times
- Supports the leaders' direct reports on all administrative duties
- Completes all routine administrative tasks and maintains office supplies and materials
- Compiles and prepares expense reports
- Provides support with the planning, design and implementation of projects and key initiatives
- Identifies opportunities to streamline or automate processes to continuously improve service delivery
- Proactive in identifying executive needs and solving issues
- Ensures compliance to legislative, regulatory and Health & Safety policies, procedures and standards
- Performs other duties as assigned

Who you are
Education & Technical Knowledge
- Diploma or certificate in Office Administration or relevant equivalent
- Proficient in Business English and office administration.
- Advanced knowledge of MS Office applications (Word, Excel, Outlook & PowerPoint, SharePoint, Teams)
Experience
- Minimum 5 years of experience as an executive assistant
- Experience in a unionized utility environment an asset
Skills/Abilities/Competencies
- Excellent detail and process orientation
- Solid problem-solving and analytical skills with the ability to provide practical and/or innovative solutions to complex technical issues
- Strong written and oral communication skills, with the ability to compose and explain information in an organized and concise way
- Ability to plan, prioritize and execute multiple demands, projects and/or initiatives within established timelines
- Ability to build and maintain collaborative working relationships with internal and external stakeholders
- Experience dealing with sensitive and confidential information.
- Demonstrates curiosity and capacity to quickly grasp new concepts, tools, and processes.
- Proficient in calendar management, including complex scheduling, prioritization, and conflict resolution.
- Ability to adapt to changing priorities and personalities
- Must hold and maintain a valid class "G" driver's license
