As an
Event Coordinator
, your on-site presence will be immersive, energetic, and hospitality-focused specializing in entertaining, informing and connecting with people who love cars. You will also be responsible for administrative support across the Events team. You will manage event production, invoices, contracts with vendors, and work closely with the key teams. This role will also focus on data collection, analysis, supporting event logistics, and execution. A high level of organization, proficiency with multiple software platforms, and communication skills will be essential to being successful in this role.

Do
- Maintain an overview of all events nationally, with a primary focus on Ontario.
- Build and maintain relationships with major partners and through existing and new sponsorships, show organizers and event related vendors.
- Negotiate contracts to maximize Hagerty's presence and brand onsite and leverage relationships to activate unique engagement and membership opportunities at events.
- Facilitate planning, develop clear timelines and establish deliverables lists all while maintaining budget guidelines.
- Track expenses for budget reconciliation; ensure vendor payments are made in a timely and efficient manner.
- Manage event operations, including but not limited to, invoice submittal for event production, contract agreements, activation costs, and other payments needed for event activation.
- Manage on-site event setup and tear down, as well as staffing and scheduling.
- Prepare and conduct pre and post event meetings for all staff attending upcoming events. Set clear expectations on the road and check in with travelers during an event.
- Assist in post-event recaps and reporting with the event and/or venue in conjunction with internal sales and executive teams.
- Work closely with Accounts Payable, and the Workday team, to ensure streamline payment processes and setting up and/or updating pre-existing suppliers.
- Manage the relationship with the Member Service Centre (MSC) operations team to ensure clear communication of Hagerty events.
- Support Hagerty Membership Initiatives; drive awareness, promote benefits and features, integrate promotion in Hagerty's presence at events.
- Be willing to obtain requisite insurance licensing.
- Continually research and present potential sponsorship opportunities and unique event opportunities for consideration; create and maintain a running calendar list of events and opportunities in region.
- Report trends and market intel within the Canadian region.
- Participate in directed initiatives from regional leadership on specific sales campaigns to drive results based on region needs.
- Collaborate with regional team members to elevate sales and event opportunities.
- Market Hagerty products to insurance partners, regional automotive influencers, direct clients and commercial facilities.
- Achieve set quarterly performance metrics based around business initiatives.
- Establish and grow Hagerty membership platform and the Hagerty Drivers Club product through product marketing, awareness campaigns, and agency contacts

- Be an advocate for events team. You must lobby on behalf of the events staff to assist with tasks while individuals are traveling and on the road.
- Strong communication and writing skills. You must be outgoing, friendly, and relatable. Must be comfortable interacting with people.
- Have a knack for details. A successful track record of written communication abilities is essential as most of our communication is done via email.
- A solid working understanding of modern computers (Windows or Macintosh) and common productivity software (Microsoft Word, Microsoft Excel, Google Docs). Excellent web browsing skills (Chrome, Firefox, Safari) and ability to research online. Proficient in Salesforce and Smartsheet is encouraged.
- Excellent time management skills - you must have the ability to batch work, juggle competing priorities to meet deadlines to ensure payments are processed in a timely manner.
- Ability to think through a multitude of variables to derive a "best" solution anticipating future possibilities and factors.

- Bi-lingual (English/French) is a plus but not required.

- This can be worked as a remote position in/near Toronto, Ontario, Canada.
- Familiarity with public company requirements, including Sarbanes Oxley and key regulations, if applicable. For SOX compliant roles, responsible for designing, executing, and documenting internal controls where they have been identified as owners to prevent errors in financial reporting, processes, and business operations. Including attestation to the completeness, accuracy, and compliance of all financial reporting data, where applicable
