Key Responsibilities

  • Provide a welcoming and supportive experience for patients, fostering trust and comfort throughout their maternity journey.
  • Greet and assist patients in person and over the phone, managing appointment scheduling with a focus on prenatal and postnatal care needs.
  • Answer inquiries and provide information about clinic services to patients and visitors.
  • Optimize patient satisfaction and provider time by effectively managing appointment schedules.
  • Notify physicians and administrative team members of patient arrivals to keep appointments running on schedule.
  • Address patient concerns with empathy and professionalism, maintaining a calm and supportive reception environment.
  • Accurately maintain and update patient records using the Electronic Medical Record (EMR) system (AVA EMR).
  • Uphold strict patient confidentiality related to medical, personal, and financial information at all times.
  • Process incoming and outgoing referrals efficiently and accurately.
  • Handle patient payments and assist with reconciliation of medical billing as required.
  • Prepare exam rooms prior to appointments and reset rooms between patients.
  • Obtain and document patient vitals as required.
  • Clean and disinfect exam rooms and clinic surfaces between patients, in accordance with clinic protocols.
  • Stock and restock exam rooms and clinic supplies as needed.
  • Support general administrative and clerical duties to ensure smooth clinic operations.

Requirements

  • Medical Office Assistant (MOA) diploma or certificate.
  • Previous experience in a medical office setting; experience in maternity or women's health is an asset.
  • A combination of relevant education and experience will be considered.
  • Proficient computer skills with experience using Electronic Medical Record (EMR) systems; experience with AVA EMR is preferred.
  • Understanding of medical terminology and basic clinical workflows.
  • Familiarity with healthcare regulations, privacy legislation, and patient confidentiality requirements.
  • Strong attention to detail and excellent organizational skills.
  • Excellent communication and interpersonal abilities.
  • Ability to remain calm, professional, and compassionate in a fast-paced clinical environment.
  • Ability to work independently as well as collaboratively within a team.

Work Environment

  • Fast-paced outpatient maternity clinic with frequent patient interaction.
  • Direct daily collaboration with physicians and clinic administrative staff.
  • Combination of front-desk, administrative, and clinical support responsibilities.
  • In-person role with regular patient contact.

Shifts

Monday to Friday within the hours of 7:30 a.m. – 5:00 p.m., with flexibility for occasional evening or weekend shifts.
