The Opportunity
We're building something real here. Our Property Management division is a core pillar of our business, and the next 12–24 months are critical. We're hiring an experienced, licensed Property Manager who can run day-to-day operations, protect the quality of service, and help us grow the portfolio the right way.
This is not a "keep the lights on" role. This is a lead from the front role.
If you're a problem-solver, a strong communicator, naturally organized, and someone people actually enjoy working with, you'll fit right in.
What You'll Do (Core Responsibilities)
Property Management Operations
- Manage a portfolio of residential rental properties (primarily condos/houses)
- Handle tenant onboarding, renewals, notices, move-ins/move-outs, inspections, key/lockbox coordination
- Coordinate maintenance requests: triage, dispatch, follow up, and ensure quality control
- Manage vendor relationships (quotes, scheduling, invoices, and performance)
- Ensure consistent documentation, compliance, and service standards
Client & Tenant Communication
- Be the calm, professional point of contact for owners and tenants
- Resolve issues quickly and fairly with strong judgment and firm boundaries
- Provide owners with updates, recommendations, and clear reporting
Growth & Process Improvement
- Help build systems, checklists, templates, and workflows to scale
- Identify operational gaps and fix them (before they become problems)
- Support leasing/admin coordination when needed
- Contribute ideas to grow the division through better service, retention, and referrals
Brokerage Front Desk & Admin Support (As Needed)
- Answer incoming phone calls and route inquiries to the right team member
- Greet and assist walk-in clients and agents in a professional, friendly way
- Book/cancel appointments and manage basic calendar scheduling
- Support the brokerage team with light admin tasks (printing, scanning, document prep, general office support)
- Assist with MLS-related admin support when required (listings paperwork, basic updates, coordinating with agents)
Who You Are
You're the type of person who:
- Takes ownership — you don't wait to be told, you execute
- Stays organized while juggling multiple priorities
- Communicates clearly and professionally (written + verbal)
- Can handle pressure and still keep a positive attitude
- Is a team player — reliable, respectful, and easy to work with
- Enjoys solving problems and improving systems
Requirements (Must-Haves)
- Property Management license required (please include details when applying)
- 2+ years of property management experience (more is a plus)
- Strong knowledge of tenant relations, maintenance coordination, and leasing admin
- Excellent English communication skills (written and verbal)
- Proficiency with Microsoft Office / Google Workspace and property management tools Yardi/Buildium
- Ability to work some evenings/weekends as needed (tenant issues and operational realities)
Nice-to-Haves
- Experience managing condos in the GTA
- Experience scaling a portfolio or helping a PM business grow
- Strong vendor network
- Comfort with reporting, basic budgeting, and operational KPIs
What Success Looks Like (First 90 Days)
- Portfolio is stable, organized, and running smoothly
- Faster response times, tighter follow-up, fewer loose ends
- Owners feel informed and confident; tenants feel handled
- Systems/checklists in place so we can scale without chaos
- You're proactively contributing to growth and retention
Why Join Us
- You'll be a key leader in a fast-growing division — your work will matter
- Strong team environment: supportive, professional, and fun to be around
- Opportunity to grow into a senior/lead role as the portfolio expands
- We move fast, we improve constantly, and we take service seriously
