What You Will Do
As part of our dynamic Head Office Team, the Workplace Experience Coordinator will be at the heart of creating a smooth and engaging workplace.
Your role will be pivotal in supporting our Executive Team and maintaining a professional and welcoming environment that serves as the company's first impression. From office operations to employee programs, you'll be the go-to person for ensuring everything runs seamlessly.
- Keep the office running - space allocation, cleanliness, and vendor coordination
- Champion Health & Safety, from digital safety board to emergency preparedness
- Manage security systems, access controls, and meeting space logistics
- Provide administrative support to executives and departments
- Coordinate onboarding, training, and employee engagement initiatives
- Oversee office supply procurement and technology inventory
- Act as first-line IT support and liaison with tech partners
- Help roll out new digital tools and intranet content
- Organize team-building events, recognition programs, and office activities
- Maintain smooth workflows with well-organized systems and records
- Collaborate with a vast and diverse team
What You Bring to the Table
- Experience leading office operations with 5+ years in an administrative role
- Strong computer skills (MS Outlook, Word, Excel, PowerPoint)
- Comfort with IT setup, troubleshooting, and tech coordination
- Familiarity with HR processes including onboarding and documentation
- Logistics whiz for planning meetings, training, and events
- Detail-driven, organized, and deadline-focused
- Clear communicator with solid interpersonal skills
- Flexible and collaborative team player, steady under pressure
- Professional, reliable, and discreet when handling sensitive information

Work Environment
This role is primarily based at our Head Office, with regular interaction across all departments and with external partners. You'll be at the center of our operations, balancing independent work with collaboration, and occasionally coordinating after-hours events to support our culture of connection.
The reception area is your personal studio, allowing you to work independently while only steps away from the team. You'll be on the phone and computer the majority of the day, while you enjoy a great view of Barrington St. Enjoy a consistent schedule with regular office hours, maintaining that work-like harmony.
