Job Title: Assistant to the Director, General Counsel and Member Programs (Maternity Leave Contract)

Reports to: Director, General Counsel and Member Programs

Brief

A unique role, this assistant helps support this Director with the administration of their duties, but also all elements related to their role as legal counsel, Director of Member Programs including confidential correspondence and file maintenance. As this director is involved in change management and operational restructures, including on the executive level, this role will serve to support the administration and operations of these elements.

Essential Duties and Responsibilities

· Work directly with the Director to support all aspects of her daily work routine.

· Maintain Director's calendar, including scheduling meetings, and appointments, while exercising discretion in committing time and evaluating needs.

· Serve as liaison between Director and the public, and as required with other divisions, and external and internal stakeholders, by receiving and screening incoming calls and emails, answering questions with tact and diplomacy, taking messages and directing correspondence as appropriate based on direction.

· Attend meetings and take notes of discussions, prepare and print materials and agendas in advance and prepare and distribute minutes and summaries following.

· Compose and send emails on behalf of the Director, as required.

· Draft, format and proofread reports and memos as required.

· Maintain electronic filing systems for areas that require support.

· Maintain confidential and sensitive information.

· Assist with administration of change management elements as required.

· Handle printing, faxing, scanning, mailing filing etc. for all areas where support is required.

· Attend day-to-day functions with the Director to keep a pulse and organization on the elements that require administrative support.

· Complete paperwork for expenses and legal invoices as required, such as credit card purchases, vouchers, estate invoices, or travel.

· Assist with many ongoing initiatives and projects in a project management role, and complete special projects as required.

· Other additional and/or alternative duties as assigned from time to time, including supporting other divisions as needed.

Job Types: Full-time, Fixed term contract
